This role sits in our new London Office which currently houses three different DEPT entities / businesses.


JOB PURPOSE:


DEPT UK are currently in an exciting phase with three agencies coming together as one We have recently moved into a new office in Old Street and we are looking for an Office Experience Lead to work with all three business entities to provide an inclusive, positive, efficient and exciting place to work.


With the support of the Office Manager, The Office Experience Lead will ensure the management, safety and security of the London office as well as improving and implementing operational processes.

The Office Experience Lead will also be hands on with concepting, managing and executing the events calendar and for the London office including socials, external training, etc.


Due to the nature of the role, we are expecting this person to be in the office 4 days per week.


KEY RESPONSIBILITIES:

London Office Management

  • Help unify the London businesses operationally under one DEPT brand
  • Line manage and develop the Front of House/Office Manager
  • Manage relationships, contracts and price negotiations with vendors, service providers, and building managers
  • Ensure accurate and uptodate records of all officerelated contracts, supplier details, reports, certificates, and other documents necessary to record and/or archive
  • Manage annual budget, scheduling expenditures, analysing variances, and initiating corrective actions
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement, and requesting feedback from stakeholders
  • Identify inefficiencies and potential costsavings
  • Coordinate with the IT department on all office equipment purchases
  • Design, implement and regularly review office and health & safety policies by establishing standards and procedures, and ensuring they are observed
  • Maintain a safe and secure working environment for staff, clients and visitors
  • Liaise with both UK and Global locations to ensure alignment and consistency of all officerelated operations and activities
  • Regularly review and implement ongoing sustainable practices across the London office in line with DEPT's BCorp certification
  • Support front of house where required
London Office Culture & Community Building

  • Help unify the London businesses events & culture under one DEPT brand
  • Work closely with the UK P&C and Marketing teams to develop an engagement strategy and calendar
  • Work closely with both UK and global teams to drive consistency across internal communications
  • Organise London events and engagement activations, from conception execution including:
  • Identifying requirements and expectations for each activity
  • Brainstorming and implementing concepts and themes
  • Managing activity budgets
  • Organising suppliers, caterers, staff, and entertainment
  • Coordinating all logístical elements of the activity from start to finish
  • Anticipating attendee needs and making preparations against potential risks
  • Developing postactivity reports on effectiveness and key learns
  • Help organise the UK DE&I calendar, including: Organising guest speakers, Managing budgets, Coordinating all logístical elements, etc.

SKILLS AND PREVIOUS EXPERIENCE:


  • Relevant experience as an Office Manager / Lead, ideally within a similar agency
  • Highly computerliterate with advanced Microsoft Office & Google Drive
  • Experiencing organising and managing social and business events
  • Excellent verbal and written communication skills as well as organisational and multitasking skills within a fast paced environment
  • Ability to take care of highly confidential information
  • Interest and experience in providing an inclusive and positive working environment
  • Serviceoriented and great interpersonal skills
  • Flexible with the ability to adapt to changes in work priorities
