    Our busy office is recruiting for an Operations Manager to cover a period of maternity leave for our existing Head of Operations. Vital to this role will be excellent organisation and communication skills. This position is responsible for managing the smooth day-to-day running of the office, ensuring effective communication between departments, supporting Partners and Chief Operating Officers and taking responsibility for the HR and IT functions. The Operations Manager will have one direct report (Office Manager) and will supervise a network of support staff and colleagues. They will be critical in supporting key business development work being done by the leadership of the company and must be capable of working in strict confidence and gaining trust of leadership to carry out this part of the role.

    Responsibilities


    • Management of office manager / receptionist and coordination of the work experience and internship programmes. Provide cover where needed.


    • Manage office infrastructure by liaising with external contractors and/or landlord when necessary, keeping across development of existing spaces (in both UK and US) and any new premises we start working with.


    • Implement and maintain office policies and procedures; ensure that health and safety policies, fire regulations and staff handbook are adhered to and kept up to date. Specific responsibility for company and office Covid 19 protocols and policies.


    • Responsibility for company wide HR including creation and implementation of employee contracts, company bonus and review schemes, overview of new starters, staff benefits and oversight of payroll in conjunction with finance team. Working with US advisors on US contracts and HR issues. Oversee company recruitment and organise induction programmes for new staff members. Maintain up to date personnel records for all staff and work with external lawyers on employment contracts where necessary.


    • Responsible for maintaining and updating company insurance schemes including business insurance, health care scheme, life insurance etc, in both our UK and LA offices.


    • Manage relationships with external suppliers eg IT Support, Telecoms, Office Supplies, Storage, Travel Agents, Subscriptions & Memberships, Insurances.


    • Oversee and project manage IT infrastructure development plan that will have been started by incumbent Head of Operations including migration of server, hardware, software and new starter set-up.


    • Embrace company culture and help to grow and maintain the nature of cross pollination between all departments by promoting exchange of ideas, communication, social events – including liaising with and supporting US as well as UK teams.

    Organise and ensure efficient running of all company meetings, including board meetings, strategy meetings, company briefing sessions, away days. Other events include: Screenings, Q&As, premieres, galas, festivals, investor events. Take minutes and coordinate any agreed next steps from meetings.


    • Work with senior team to compile and distribute agendas and reporting packs for board, shareholders and other external stakeholders, ensuring delivery on time.


    • Ensure high quality internal and external PR by overseeing press releases and having overall responsibility for company website.


    • The Candidate


    • Experience in film, television, digital, advertising or other creative media desirable


    • Proven track record in successful office management essential


    • Knowledge of office management responsibilities, systems and procedures essential


    • Excellent time management skills and ability to multi-task and prioritise work


    • Attention to detail and problem-solving skills


    • Excellent written and verbal communication skills


    • Strong organisational and planning skills


    • Good judgement and decision-making skills


    • Proficient in MS Office and Mac OS


    • Knowledge of human resources management practices and procedures


    • Knowledge of business and management principles


    • Computer skills and knowledge of office software packages

    Terms

    The role is full-time based maternity cover based in the Central London Offices (nearest tube Oxford Circus). Office working hours are Salary will depend on experience and qualifications. Additional benefits include generous holiday allowance.
