Our client Sunflower Smile Nursery based in Saxilby are looking to employ a Business Administration apprentice, to ensure effective administrative support to all departments.

Daily Tasks

  • Answer telephones and transfer to appropriate staff member.
  • Enter data onto Parenta nursery management software; register children, enter extra sessions and holidays as requested by the parents and authorised by the management team.
  • Meet and greet clients and visitors ensuring they are signed in and briefed on the visitor's policy and the fire policies and procedures.
  • Answer the door and accompany visitors whilst on the premises and take to appropriate person for the visit. Provide refreshments for meetings and appointments.
  • Respond to enquiries; send out brochures, registration packs, book visits and inductions. Collect booking fees and hand out appropriate forms.
  • School runs and lunch cover in all setting when needed.

Weekly Tasks

  • Check registers for extra sessions, late collections and extra hours/extended sessions.
  • Stock take nursery supplies, nappies, wipes, PPE, spare clothing, art supplies and stationary.
  • Check fire extinguishers, fire blankets and alarm system (call points). Record in fire log.

Monthly Tasks

  • Check emergency lighting.
  • Check and record hot water temperatures.
  • Check and restock first aid kits. Order supplies when needed
  • Minute take at general staff meeting and meetings with parents. Type up and distribute; staff folder, office copy, kitchen copy and accountant copy.
  • Update emergency contacts lists.
  • Inspect the facilities for wear and tear. Log maintenance in log book.
  • Update COSHH folder and check all chemicals and products have a sheet.

Annual Tasks

  • Research and obtain quotations for the Pre-School leaver's trip, Christmas fete entertainment, summer event/sports day.
  • Review all risk assessments with Deputy Manager and produce additional ones needed.
  • Operational plan.

General Tasks as Needed

  • Create and modify documents using Microsoft Office, Excel.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Sign for and distribute mail and packages.
  • Research, price, and order office resources and craft supplies with authorisation from management.
  • Coordinate and maintain records for staff office, Management offices, phones, utilities / services and office keys.
  • Research and collect documents and information for the management team as requested.
  • Assist Management to source and price items for renovation/improvement works.
  • Distribute letters, forms, leaflets as required by management team.
  • Update notice boards, staff board and displayed information accordingly. This includes the Makaton sign of the week, equality and diversity information, religious festivals, staff profiles board and introduction book.
  • Check and replace resource labels on toy boxes and children's peg and shoe box tags.
  • Other duties as assigned.
  • Assist in the development of practice within the whole nursery, follow and progress the development plan and implement new ideas and practices throughout all areas of role.

Important information:


Education/Qualifications

  • To hold English or Mathematics GCSEs at level 4 / C or above.


You will be on the hourly rate of pay which is advertised above, then after your first 12 months, this will be increased to the National Minimum Wage for your age bracket.
