    Admin Assistant – Student Records Awards Team

    Grade 4 £22, £25,138.00

    35 hours weekly, permanent hybrid role

    Annual Leave: 37 days ( 28 days plus 9 buildings closed days)

    Purpose of Role

    The post is an administrative and student support role within the Student Records and Awards team.

    The specific role of the post-holder is to provide a helpful, professional and co-ordinated approach in support of, and advice to, students, and academic and administrative staff across the University and at other campuses working as part of the Student Records and Awards (SRA) team and to assist, as directed, with all major Registry and Academic Support activities including Enrolment (on- and off-campus) and Graduations (at all campus locations), including the monthly conferment for in absentia awards, intermediate and exit awards.

    Summary of Key Duties

  • To support Enrolment at all our campuses, working with staff within the Student Service Centre (SSC);
  • To assist with arrangements for enrolment for all students on-and off-campus, ensuring that all UKVI requirements are met.
  • To assist with Graduation arrangements (at all campus locations) including assisting students with the online graduation application process, preparing and issuing certificates, assisting with the co- ordination of prizes/medals, assisting with the arrangements for allocation of guest tickets, assisting with the preparations for graduation programmes, assisting with staff briefing notes and allocation of roles for support staff and to maintain the Graduation Master programmes and associated lists
  • To assist with University enquiry management systems including support for the SRA webmail, Student Helpline and askMyHW (SID)
  • To provide support for updates to the Student Administrative System (SAS) and conduct appropriate structured data integrity checks to ensure the quality of data in SAS, and other central records (eg. SAAS/SLC, Appeals, Suspension of Studies, PGR extension of studies), is maintained
  • To assist with the arrangements for the award and issue of Intermediate and Exit awards
  • To assist with the release of examination results, and awards, to graduating students
  • To share general office duties with the SRA team including opening and distribution of mail; issue of certifications and academic transcripts from archived records
  • To provide support for testing of online processes in respect to operational developments
  • To liaise with colleagues across the Directorate in support for, training of, and assistance with, shared use of SAS
  • To assist with committees and other working groups in relation to SAS
  • To provide cover for the tasks carried out by other members of the SRA team and to undertake other tasks related to RAS activities as requested by the Student Records and Awards Manager or the Head of Student Administration

    Education, Qualifications, and experience

    Essential

  • Effective team working skills

  • Educated to SCQF Level 6 or equivalent qualification
  • Working in an administrative role in higher education

    The Registry and Academic Support Directorate (RAS) supports our students and staff colleagues across the full student lifecycle, from enrolment to graduation. The Directorate has responsibility as the definitive record-keeper of all student information and programme and course details, and leading services that help students settle and stay at the University with professional help and advice, through a range of wellbeing services. It supports academic and professional services staff across the University in a number of areas, including: academic, institutional and student related Regulations and Policies and global, national and institutional quality matters.

    It delivers these services through four Divisions, each managed by a Global Head:

    The Student Life Division consists of three services:

  • Student Administration Service

    The Student Administration Service provides the management and delivery of key University services and processes across three teams: Student Records and Awards, the Student Service Centre and the Global Student Office.

    The Student Administration Service manages a single point of access for students on each campus, to deliver a consistent student experience including face-to-face and virtual services. It acts as the definitive record-keeper of the student record and manages and delivers standard/consistent processes and advice in relation to enrolment, maintenance of the student record, all student transactions (transfers, finance, scholarships, suspension of studies, etc.), student mobility, including international student visas, placement/exchange students and campus transfers, all student aspects of graduation and awards.
