    Contract Management Specialist

    Key Responsibilities:

  • Oversee and lead on the effective management and oversight of all HiS contracts.
  • Oversee the implementation and execution of new contracts, ensuring compliance with legal and regulatory requirements.
  • Support and develop partnerships/relationships with key stakeholders and customers.
  • Review our Contractor Management Policy to ensure that works are completed by competent contractors and our assurance arrangements are robust.
  • Review contract documents, scope of work, and specifications to ensure clarity and completeness.
  • Co-ordinate and lead contract meetings with contractors and develop a culture of safety and continuous improvement.
  • Identify any performance issues and work with contractors and other colleagues to deliver improvement plans as required.
  • Monitor and evaluate contractor performance against agreed-upon metrics and key performance indicators (KPIs).
  • Liaise with internal colleagues to ensure that accurate performance data is reported.
  • Co-ordinate with contractors, colleagues and other stakeholders to embed a safety culture for all contracts.
  • Assist with the investigation of any accidents/incidents and work with our H&S advisor to manage reporting, areas for improvement and data monitoring.
  • Develop and implement monitoring systems to demonstrate effective transparent and robust contract management.
  • Lead and manage our CDM responsibilities and take on the role of principal designer for Homes in Sedgemoor for lower-level projects within the Asset Management & Safety Team.
  • Consult with residents, co-ordinate communication and attend customer meetings as required.
  • Assist with specifications, designs, contract and tender documentation to procure works and services.
  • Undertake statutory consultation with leaseholders as appropriate and providing accurate and timely contract and cost information in accordance with Section 20 of the Landlord and Tenant Act.
  • Manage contractors and carry out contract administration for contracts as required including chairing operational meetings.
  • Attend operational and core group contract meetings as required.
  • Be an active member of H&S groups, such as the H&S Forum, Asbestos Steering Group etc.
  • Be a key player in the delivery of the sustainability by design corporate strategic theme and manage works relating to the delivery of our retrofit programme.
  • Work closely with Data & Investment Specialist to ensure all capital works/decent homes works are completed, inspected and signed off within timescales.
  • What will I have to do?

  • Manage contracts and ensure compliance with legal and regulatory requirements.
  • Review contract documents, scope of work, and specifications to ensure clarity and completeness.
  • Monitor and evaluate contractor performance against agreed-upon metrics and key performance indicators (KPIs).
  • Conduct regular site visits to monitor project progress, quality of work, and adherence to timelines.
  • Collaborate with contractors and other relevant stakeholders to identify and address potential issues or delays.
  • Ensure that all projects align with our values.
  • Work closely with our Finance Team to monitor project budgets and expenditures.
  • Identify cost-saving opportunities and recommend adjustments to project plans as necessary.
  • Implement and maintain quality assurance processes.
  • Conduct inspections to verify compliance with specifications and safety standards.
  • Develop and nurture positive relationships with contractors, suppliers, and other stakeholders.
  • Communicate effectively and provide contract updates.
  • What do I need to be successful?

  • Proven experience in contract management and oversight within the social housing sector.
  • A Customer First approach.
  • Relevant qualification would be advantageous.
  • Understanding of Health & Safety requirements and experience of CDM.
  • Excellent project management and organisational skills.
  • Effective communication and interpersonal skills.
  • Experience of budget management and cost control.
  • Ability to work independently and collaboratively in a team environment.
  • Collaborative, problem solving approach.
  • Experience of performance monitoring and reporting.
  • Access to a vehicle for work purposes / meet in person for required meetings and visiting contractors on site.

  • Chair contractor meetings and produce minutes & and manage actions arising ensuring tasks are completed.
