This is an exciting opportunity based at the Lookout, Hopewood working as a receptionist you will cover a 5-day week Monday to Friday, this will include bank holidays.

The reception is a service which operates 8.00am to 8.00pm Monday to Friday and 9.30am to 3.30pm Saturday and Sunday.

The post holder will provide a welcoming and confidential reception service. To work as part of a team providing clerical and administrative support.


You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure.

You will always present a professional and polite attitude at all times.

This is a customer facing role that requires the post holder to provide a comprehensive efficient, confidential, and tactful reception, clerical and administrative service for the department.

You will be responsible for greeting visitors to the Lookout.


This role includes maintaining patient related records/databases making appointments and preparing correspondence, dealing appropriately with face to face and telephone enquiries.


You must be educated to GCSE standard or equivalent, possess excellent communication skills and be competent in the use of computers systems including Microsoft packages.

Reception duties include meeting patients, visitors, and staff, dealing with face to face/ telephone enquiries

Maintain health care records on RIO computerised system

To receive and make internal and external telephone calls from Staff, Service Users / Patients, members of the public and external agencies ensuring that messages received are appropriately signposted and actioned timely

Maintain and update a booking system for visitors to patients

Co-ordinating appointments for all visitors to the department

Assist with room bookings for the Lookout

Ensuring Fobs / Alarms / Keys are available and recorded for visitors and bank workers.

Programming Fobs for new starters and programming new starters into the key trakka system

Type correspondence as required

Word process correspondence including letters, memos, and collating reports

To implement and maintain adequate filing and follow up systems

Transfer of individual and bulk files for archiving between location

Filing, photocopying, and scanning

Input clinical data and maintain

Ensure timely daily checks are carried out and report any discrepancies

Ensure PPE stock levels are adequate and log sheets are correct

Identify health and safety practices that are appropriate to self and others

To participate in appropriate training courses and updates in accordance with mandatory requirements and undertake a personal development plan

To be flexible in the role and to cover other shifts and areas of the site in other reception areas to support the demands of the service

To undertake any other duties that would be a reasonable expectation of the role
