    Job summary

    We are looking for a highly motivated, strategically minded, experienced Dispensary Manager to join our team and lead our Dispensers. Getting involved in the day-to-day activities of dispensing, as well as leading, supporting and managing and striving for continuous development within the team.

    Experience in a management role is essential.

    Main duties of the job

  • Responsibilityfor the overall management of the Dispensary and dispensary team
  • Sourcingnew ways of increasing profitability for the Dispensary.
  • Implementingnew initiatives and encouraging new patients to sign up to the Dispensary.
  • Monthlychecking the Drug Tariff for price and category changes, checking MIMS fornew or discontinued drugs and following up changes with drug companyrepresentatives where necessary.
  • Inassociation with the nominated partner, maintain and update the computerisedDrug Directory, adding new drugs and monitoring patient repeats, updatingdirections to the formulary as necessary.
  • Workclosely with the in-house pharmacist
  • Liaisewith the ICB/Medicines Management Team/Pharmaceutical Advisor, actioning anyrecommendations as required.
  • Ensuringthat prescriptions are sorted, endorsements checked, forms prepared andprescriptions submitted monthly to the Prescription Pricing Authority (PPA) anddealing appropriately with prescriptions returned by the PPA.

    The Practice is run out of a purpose built building in the heart on Bunbury Village and consists of 2 GP Partners, 4 salaried GP's, 2 Advanced Nurse Practitioners, a Practice Nursing team, Dispensary and Reception team.

    Job responsibilities

    Assistwith clinical audits and co-ordinate the completion of these with clinicalstaff and return of data as required.

    Toannually review all standard operating procedures and ensure staff are awareand compliant ensuring a robust recording system in place capturingacknowledgement of these and subsequent changes

  • Prepare for and co-ordinate annual DSQS submissions/visits,including preparation of paperwork, evidence of procedures/protocols and Drumreviews are completed to target.
  • Staff Management

    Leadingthe team both by example and through direction when required

    Promotinga supportive and empowered workforce.

    Creatinga culture of continual improvement

    Trainingdispensary staff, including encouraging and organising attendance on relevantrecognised courses, including mentoring and supervising trainee dispensers.

    Regularlyappraising dispensary staff including a formal annual appraisal setting andreviewing targets both at a team and individual level.

    Ensurecompetency certificates are completed for all staff at least annually

    Assistingthe Practice Manager with the recruitment of dispensary staff, providingspecialist advice and leading on technical competencies/skills assessment.

    Assistingthe Practice Manager with any disciplinary issues within the dispensing team.

    Purchasingand Stock Control

    Establishingand maintaining the purchasing and management of stock control to minimisefinancial costs. To include bulk/monthly ordering on regular items (whereappropriate) and weekly/daily ordering of other items as required.

    Establishinga robust system to ensure goods are correctly delivered and invoiced for and,where appropriate, credit notes are received and matched correctly to ensuremonies paid for items are correct, liaising with Finance as necessary.

    Ensureinvoices for Controlled drugs are kept securely for audit purposes

    Checkingand authorising payment of monthly statements.

    Checkingcredit notes against returns and chasing outstanding credits.

    Provideregular data to Finance on VAT items

    Maintainadequate stocks at main and branch surgeries, ensuring timely stock rotation.

    Organiseand liaise with external agency to undertake annual stock takes in dispensary, treatmentrooms, CD cupboard and consulting rooms ensuring stock is valued for entry intoend of year accounts.

    Ensure robust systems are in place to minimisewaste, but where unavoidable, oversee the boxing and pricing of out of datestock and keep records and report regularly to the Partner responsible forDispensary and Practice Manager.
