An exciting opportunity for a Band 3 Patient Administrator has been opened for a highly motivated and enthusistic individual.


Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience.

Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.


The post holder is required to assist in the provision of a professional, comprehensive and efficient administrative service, which is effectively delivered to all patients and members of the Department.

This will be through supporting the Patient Admin Coordinator in the delivery of a comprehensive administrative service to a specialty team.

This will involve waiting list management for a speciality, in accordance with the Elective Access Policy, communicating appointment and admission related information to patients and carers and/or typing correspondence as appropriate.


Milton Keynes Renal Unit is a Satellite Unit of Oxford Kidney Unit and provides an Outpatient Service of Haemodialysis, Peritoneal Dialysis and Renal Clinics for patients in Milton Keynes and some areas of Buckinghamshire.

It is a busy unit with highly motivated team, dedicated to providing a high standard patient care.


  • To be responsible for the provision of a supporting role to the Patient Admin Coordinator to help ensure the efficient running of the service.
  • Implement policies and procedures to maintain efficient department/office and filing systems to facilitate the smooth running of the administrative services.
  • Support with the letter generation process to type letters as required.
  • Receiving and taking relevant action on telephone calls from patients, General Practitioners etc. Providing reassurance and support to patients and families by telephone and making judgements about finding appropriate solutions to problems, which requires the ability to be able to understand and explain basic medical procedures.
  • Arranging investigations, ensuring that these have been performed, results received and seen by relevant clinician and filing/redirection of all investigation results as appropriate.
  • Preparing the notes for clinics, including front sheets and referral letters and delivering the trolley to the Outpatient Department as necessary.
  • To maintain case note tracking on the Patient Administration System (EPR).
  • Updating patient details and viewing events using Patient Administration Systems (EPR). Registering patients and making up new case notes as necessary. This may include providing reports, as and when necessary.
  • Ensure that case notes/X-rays/results are available as appropriate.
  • Ensure prompt location of case notes/X-rays/results to enable the clinician to respond to correspondence/telephone calls received.
  • Ensuring that clinic letters are sent out promptly.
  • To liaise with other departments as required.
  • Maintain an accurate and current filing system, ensuring letters, clinical reports, diagnostic test results and other notes are filed in the correct patient medical reports, in either paper or electronic record systems.
  • To liaise with Patient Admin Coordinators and Service Delivery Manager regarding issues with the transcription service targets/policy.
  • Work independently making decisions within own role with minimum supervision
  • To deputise for the Patient Admin Coordinator in their absence for annual leave and sickness.
  • To comply with the requirements of the Data Protection Act, Access to Health Records and legislation issued in relation to confidential data.
  • Any other duties as directed. This may cover a wide range of duties including providing cover for other teams as appropriate.
