Purpose of role

What are you expected to deliver in this role

Frontline support:


  • Ensure that queries are responded to within the defined timescales and that managers and employees are kept up to date, as defined in the People Operations team KPI's
  • Ensure all calls are logged and assigned a case owner. All calls should be either resolved and closed or escalated to the appropriate owner
  • Actively support, at all times, company policy and best practice in the area of information security, with particular emphasis on the protection of sensitive customer, firm and other information.

Administrative support:


  • Manage the Regular hires/Contractor conversion paperwork requirements (offer pack, formal offer), and background checks. Support with organisation of onboarding of new joiners.
  • People Operations Assistant to own all systems/data changes and paperwork.
  • Own all administrative activity for new joiners to the business, including producing offers, contracts and preemployment checks and arranging induction.
  • Support all types of leave and absences for employees, including, letter generation, system updates and other leavespecific processes (including parental leave conversations and employee personnel file management)
  • Deliver the administration of all associated correspondence in relation to changes to employee terms and conditions of employment through the lifecycle of the employee.
  • Update payroll information for promotions, transfers, terminations, and new hires.
  • Provide accurate administration of Ofcom's payroll on an ongoing basis, including inputting data into Ofcom's People System, building good relationships with Ofcom's Payroll team to support the resolution of queries in a timely way and to monthly deadlines.
  • Record and maintain employee records and payroll transactions.
  • Draft routine correspondence using document templates where available such as letters confirming changes to terms and conditions of employment, internal secondment agreements and so on
  • Setup and maintain accurate electronic filing systems as appropriate for colleague files, on (SharePoint/manual systems); create and maintain accurate and appropriate records and information in a variety of information systems and retrieving and archivingmanual files were necessary.
  • Have a good working knowledge of people policies and processes and knowledge of key contacts within P&T
  • Actively share own knowledge, take responsibility for developing new skills and awareness and avoid creation of single points of failure
  • Contribute towards the continuous improvement of people processes, including project support, to ensure our processes meet business needs

Essential skills and knowledge

  • Selfmotivate with a flexible approach to tasks, working without close supervision and being responsible for own workload.
  • Excellent data and records management skills and an understanding of the importance and risks associated with the improper use, handling and disclosure of confidential information.
  • Confident, clear and concise verbal and written communication skills tailored to the needs of different audiences.
  • Strong organisational skills, including the ability to plan and prioritise a busy workload in order to meet tight, and possibly conflicting, deadlines.
  • Strong attention to detail and accuracy.
  • Some operational and/or transactional people experience
  • Knowledge of best practice people management issues across all aspects of the people agenda
  • Experience of People information systems, including call handing and call logging
  • Experience of continuous process improvement
  • Personal and people management
