About the role


Due to our continued growth, we are excited to be recruiting for the role of
Office Assistant on a permanent basis at The HALO Trust.


Reporting to the PA and Office Manager, this is an opportunity for you to be at the heart of bringing HALO's mission to life, and we are looking for someone with a strong work ethic, who possesses the ability to work at pace in an ever-changing environment.


Key Responsibilities

  • Manage all visitors to the Wilton office, ensuring they sign in and are offered refreshments
  • Manage meeting room bookings and order refreshments where required
  • Order all office supplies and consumables and ensure adequate stocks
  • Ensure the office and kitchens are kept tidy and presentable at all times
  • Maintain water machines, changing filters and reordering as and when required
  • Fire marshal and first aider for the office
  • Conduct monthly fire checks and weekly fire alarm testing
  • Be the go to person for any facilities issues, resolving in a timely manner
  • Organise and carry out office inductions for new staff, which includes arranging keys
  • Sort and distribute incoming mail, manage outgoing mail and postage supplies
  • Assist the Office Manager with any adhoc tasks and projects

All HALO staff are expected to undertake the following general duties:

  • Work within the framework of HALO's core values, promoting its ethos and mission statement
  • Work towards achieving programme and/or group business plan objectives
  • Ensure familiarity with and adhere to all HALO policies and procedures and keep informed of HALO activities
  • Travel overseas as and when required
  • To discharge duties and responsibilities under HALO's Health and Safety Procedures which may include Risk and COSHH Assessments and participation in evacuation procedures as necessary.

Requirements:


  • Previous experience in an admin assistant / office assistant / receptionist position
  • Strong ability in MS Office packages word, excel, PowerPoint, and outlook
  • Strong organisational skills, being able to manage multiple tasks with tight deadlines
  • Good communication and interpersonal skills, being the front of house for HALO HQ reception
  • A cando approach to work, with the flexibility to get things done when needed.
