    At Dale Farm, we believe our success is built on our people, and so as we embark on our ambitious transformation journey, we are looking to recruit the position based at our Pennybridge Factory in Ballymena. This is a full-time permanent position working 8.00am – 4.30pm Monday – Friday.

    Despatch Administrator

    (Pennybridge)

    As an integral part of the Despatch team, working closely with production colleagues being a key Stakeholder within the Van Sales Department and general Pennybridge Logistical Functions. Reporting to the Despatch Manager, your main duties will include;

    Key Responsibilities

  • Overview customer order routines to ensure billing deadlines are achieved.
  • Overview and maintain Navision order shipments & transmissions across the Pennybridge depot and van sales network.
  • Proactively identify variances, trends, non-compliance issues and assist operational management with departmental/business performance.
  • Daily monitoring of activities with the tablet devices and associated Invoices.
  • Identify non-operational devices-liaise with all relevant parties and provide assistance with planned repairs.
  • Assess and monitor operational compliance to ensure corrective planning systems are maintained.
  • Monitor and control order processing systems. Maintain order-billing cycles through manual order processing.
  • Assess and ensure provision of delivery note paperwork for archiving purposes.
  • Assist with supplier GRN systems.
  • Assist with stock controls across all logistical functions.
  • Assist with the development and maintenance of robust and efficient systems, processes and controls.
  • Maintain customer accounts via shipment method codes and account sequencing analysis.
  • Provide assistance and cover across both Pennybridge administration functions, processing and credit control, as per requirement.
  • Assist with departmental investigations in relation to invoice and stock control enquiries.
  • Provide data on departmental processes - third party hauliers- discrepancy reports -CDR etc.

  • Minimum of 1 year administration experience is required.
  • Strong knowledge of processing systems and credit control packages.
  • Proven experience using Microsoft office packages.
  • Ability to work efficiently and manage multiple tasks.
  • Experience in databases and maintaining effect records.
  • Possess the ability to create and maintain strong working relationships with colleagues.
  • Be flexible and adaptable in approach.
  • Desirable

  • Experience in using Navision, Freeway, External Haulier Systems, Mobilise – MRS, Exception Reports.
  • The successful candidate for this role will approach their work systematically, show the attributes to being reliable, the ability to provide a comprehensive service to the site.
