PURPOSE OF JOB


Assisting the Service Administrator and Depot Administrator with the performance of day-to-day office tasks associated with the running of the Depot.


MAIN RESPONSIBILITIES

  • Acting as the first point of contact for all clients and employees
  • Answering a high volume of telephone calls in a professional manner
- assisting with preparing payroll for operational staff.

  • Completing administrative duties under the instruction of the depot administrator within agreed timescales.
  • Organising and completing timesheets.
- chasing maintenance staff for completed maintenance documentation under the instruction of the Service Administrator.

  • Assisting with the organisation of the invoicing process.
  • Data entry onto the inhouse Syrinx system under the direction of the Depot Administrator. Confirming contracts on hire, entering new orders, entering machine and attachment numbers.
  • Maintaining the company database and files to ensure data is kept up to date and accurate.
  • Supporting the compliance of company policies and procedures relating to health and safety and environmental management.
  • Ensure the proper use and care of equipment and materials used in the execution of the role
  • Interrogating data in syrinx to deal with customer queries
  • To participate in drug and alcohol screening when required
  • To report any accident, incident or near miss in which you are involved or which you witness and to fully cooperate with any subsequent investigation
  • To ensure that you refuse to comply on the grounds of safety whenever you believe that you have been placed in an unsafe situation or are given instructed to undertake an unsafe operation

ESSENTIAL SKILLS

  • Able to perform all duties in a polite, efficient, professional and courteous manner
  • Excellent verbal, numeric and written skills
  • Excellent IT skills, fully skilled in Microsoft Office suite (Word, Excel, Outlook, Powerpoint)
  • Excellent telephone manner and ability to handle high call volumes efficiently
  • Good attention to detail with a tenacious approach
  • Maintains high personal standards and always keen to learn new skills
  • Able to manage priorities and deliver on time

DESIRABLE SKILLS

  • Touch typing
  • Ability to write business letters and assist with the completion of quotations and proposals.
Annual salary will be in accordance with published minimum wage.
