Job Summary
An exciting opportunity had arisen for a Temporary Business Support Administrator with the Hall Green Health Practice Management team.


The post holder will provide a highly confidential, comprehensive and efficient administrative service, undertaking a wide and varied range of administrative duties as specified using a problem solving approach to a range of diverse issues that arise on a daily basis.

You must be able to build effective working relationships, be approachable and accessible with a flexible approach to work.

Duties and Responsibilities:


  • Organise and coordinate executive, management and other meetings as required, including agenda preparation and take formal minutes
  • Coordinate and manage Senior Management and GP Managing Partner diaries
  • Support HR administration and coordinate recruitment activities
  • Organise and coordinate development days / planning events
  • Support delivery and tracking of projects
  • Act as central point of contact for GP Partners and Senior Management
  • Lead on adhoc projects and tasks as and when required.

Work Practice:

To provide a comprehensive administrative and support service to the Practice Management team and GP Partners.

Manage the smooth and efficient running of the senior management team on a day to day basis. To deal efficiently with all correspondence, monitoring telephone enquiries, answering queries and quickly providing information, as appropriate.

To co-ordinate formal and complex meetings, including preparation of board agendas, minutes, reports and hospitality.


To draft letters and responses on behalf of the Practice team and produce accurate letters, minutes, reports and presentation work as required.

Multi-task and plan work for short, medium and long term timescales. Plan and organise sometimes complex activities requiring adjustments to be made e.g. resolve conflicting diary appointments and arrange meetings with a number of participants with complex diaries.

To receive visitors and organise hospitality as required providing support to Practice internal and external events e.g. patient education, staff celebrations.


To maintain efficient systems to ensure that deadlines for the receipt of reports and responses are met and actions implemented.

Review GP TeamNet ensuring outstanding items are highlighted and progressed with the Practice management team and staff accordingly.

Support capacity planning and book GP locums direct and via Lantum.

Support HR administration including annual leave requests, recruitment and selection, new staff induction days, training and development.

To contribute to the successful delivery of practice projects to agreed timescales, defined standards and quality expectations. This will include maintaining project files, resources, assisting in project planning and tracking delivery of activities.

Manages own projects when required.

Resolve day to day problems independently.

Acts professionally and adheres to strict codes of confidentiality regarding practice business / staff matters.

Any other duties commensurate with the role.


Person Specification
Minimum 12 months previous experience in a complex secretarial or administrative role

NVQ Business Administration at level 3 or equivalent

Proficient in the use of all Microsoft Office programmes

Ability to work to a high degree of accuracy

Ability to work independently, with initiative and prioritise work to achieve conflicting deadlines

Good interpersonal and communication skills with the ability to secure good working relationships

Flexible and collaborative approach

Friendly and approachable manner

Experience of taking comprehensive meeting minutes

Eager to learn and capacity to adapt to change

Ability to use judgement and creativity where necessary to problem solve

Demonstrate knowledge of the need for confidentiality and how this can be maintained

Awareness of the challenges faced by General Practice.
