An exciting new opportunity to join our Licensed Leisure Team as our Team Secretary.
Role Overview
Team Secretary providing full administrative support to the Licensed Leisure team formed of 3 Directors, 1 Associate Director and 2 Surveyors based in London.

Team Secretary providing full administrative support to the Licensed Leisure team formed of 5 Directors, 2 Associate Director, 3 Surveyors and 1 Personal Assistant based in London.
Key Responsibilities
Enquiries (phone):
- Answering all calls
- Uploading requirements on AI, Send matches and deal with replies
Enquiries (Agents Insight):
- Answering all enquiries on Agents Insight with the aim being no more than 24 hours
Properties (Website):
- Uploading all properties onto Agents Insight with correct information
- Uploading all marketing material so this can be published
- Mailouts for new properties, viewings, best bids
Finance:
- Running through with team each month on jobs list
- Creating, drafting and finalising invoices
- PO's are raised in a timely manner
- Managing suppliers and PO's through My Purchasing
Property Due Diligence:
- Creating file
- Setting up on Dynamics
- Due Diligence for file
- Checklist
- Land reg, EPC, Promap
- Organising property marketing or EPC' and arranging access with landlord and supplies.
- Also retrieving quotes when required.
- Keeping costs down and sourcing other suppliers if necessary.
Compliance:
- Replying to compliance in timely manner (AML, Finance and Counterparty)
- Filling out automatic forms and making sure information is correct
- Retrieving information, chasing and making sure the team are AML compliant.
- Chasing team on information required
Team Admin:
- Trains and travel
- Printing, scanning, binding, filing
- Booking meeting rooms
- Team orders for office IT equipment and dealing with any IT issues
Presentation's and Docs:
- Pitches for team
- Sourcing images/content/information and Formatting PowerPoint
Marketing (Property List):
- Managing the property list by collating all information from team
Key Skills
- At Least 3 years' experience in similar,
- Strong knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook and Teams)
- Excellent communicator and telephone manner,
- Time Management skill and attention to detail
- Good team player but also able to work on their own
- Organisation and administrative skills able to prioritise multiple tasks
- Able to work under pressure
- Maintain a high level of professionalism when dealing with clients and colleagues.
