    Description

    Responsibilities:

    • Manage shared inboxes alongside other Team Administrators.
    • Organise and coordinate diaries efficiently.
    • Arrange and coordinate team and Programme meetings, as well as seminars.
    • Provide support and make arrangements for visitors to the Programme.
    • Facilitate travel arrangements for Programme Faculty and teams.
    • Handle various administrative tasks including purchasing, minute-taking during meetings, completing paperwork, processing expenses, and ensuring overall smooth operation of the Programme.
    • Act as a key point of contact for both internal and external stakeholders.

    Essential Skills:

    • Proven comprehensive secretarial/PA or administrative experience at senior manager level
    • Excellent IT skills, including proficiency in Microsoft Office and using the Internet for background research
    • Appropriate level of data protection, security and confidentiality awareness
    • Organising and managing events, meetings and seminars
    • Proficient in managing multiple diaries concurrently
    • Excellent interpersonal skills and team working skills
    • Exceptional organiser with the ability to prioritise and manage workload
    • Ability to work independently, but also able to develop strong collaborative working relationships with diverse team members/stakeholders
    • Attention to detail with a high level of accuracy
    • Financial administration such as managing expense claims and credit card reconciliations
    • Commitment to and focus on quality, promoting high standards in all they do

    Desirable:

    • Relevant academic and/or professional qualification in administration or equivalent experience
