RECEPTIONIST/ADMINISTRATION ASSISTANT

LONDON W2

SALARY UP TO £28,000 DEPENDING ON EXPERIENCE


Our client is a well-established, charitable organisation providing counselling and psychotherapy services for individuals, couples, adolescents, children and families through a strong, diverse community of over 100 counsellors and psychotherapists practisingat the centre.


They are now looking for an energetic, friendly and organised Receptionist for a busy reception desk in their therapy centre in Little Venice.


Basic set of tasks you'll be in charge of:

  • Greet people entering the building
  • Direct people to waiting room / bathrooms / meeting rooms
  • Answering queries from the public and customers / provide information to callers
  • Answering calls and take and relay messages and screening phone calls
  • Keeping the reception area tidy
  • Looking after the 'interview/assessors' book and scheduling appointments
  • Ensures knowledge of staff movements in and out of the building
  • General administrative and clerical support
  • Prepare letters and documents
  • Receive and sort mail and deliveries / receipt of courier parcels
  • Placing orders with suppliers and managing the delivery of the items

Desirable qualities a receptionist should have:
An outgoing personality

  • Good written and spoken communications skills / verbal and written communication skills
  • The ability to stay calm under pressure / stress tolerance
  • Good organisational skills organising and planning
  • Be discreet and tactful and keep boundaries
  • Be courteous but firm when dealing with difficult customers
  • A good memory for faces regulars like to be remembered
  • Efficient and well organised
  • Selfmotivated and able to use initiative
  • Confident when using office equipment (shredder, printers, copier)
  • Knowledge of customer service principles and practices
  • Keyboard skills
  • An interest in the organisation
  • Professional personal presentation
  • Attention to detail
  • Reliability and good timekeeping

Person Specification-Essentials

  • Experience of administrative roles
  • Ability to represent the organisation and to promote the aims of the Centre to visitors
  • Have an understanding of mental health issues and be sympathetic towards people with mental health issues
  • Commitment to the principles of equal opportunities
  • Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)


They require someone with excellent organisational skills, communication skills and the ability to work with people from a multitude of backgrounds.
