We are looking for an experienced and super-organised administrator with an interest in events to join our Operations Team within the Seating division.
Operations are a very busy team and Operations Coordinators are in the midst of it, liaising and coordinating with the Projects team, clients / suppliers, Site Crews, and other stakeholders.
Ultimate team-players, they are absolutely pivotal to the successful delivery of our Projects for our amazing clients.Responsibilities:
- To coordinate crew resources for events throughout the UK and Overseas._
- Confirming Crew, Agency and Subcontractor bookings via crew schedule / manager.
- Support the Crew Manager with maintaining accurate absence records for the crew.
- Develop and maintain the Preferred Suppliers List for agency personnel and subcontractors, ensuring contracts are in place and IR35 determinations are carried out.
- Coordinate and book all accommodation for Arena site crews and subcontractors and all site transport, including haulage and flights, when required for international events.
- Coordinate and book plant machinery for projects.
- Oversee accreditation process, taking instruction from project coordinators.
- Ensure crew carrying out international assignments have the required work Visa's and skill accreditations.
- Raise Purchase orders and process invoices.
- Provide general administrative support to the Operations Management Team.
- Reporting any potential hazards identified.
- Any other duties reasonably requested by the line manager and warehouse management team; provide necessary cover and support for other operations coordinator as required
Person specifications:
Skills & Experience required:
- Full UK Driving Licence
- Experienced Administrator
- Confident Microsoft Office user, particularly Excel
- Excellent communication skills, listening, verbal and written.
- Excellent organisational skills with attention to detail and a proven ability to multitask.
- Ability to work under pressure with tight deadlines, effectively manage own workload and competing priorities
- Friendly, Approachable and supportive personality
- Interest and desire to learn and develop professionally.
