    We are looking to welcome a Support Medical Secretary to the Paediatrics team within the Division of Women & Children.

    The post is full-time (part-time considered) and can be based at any of our 3 main sites.

    This is an excellent opportunity for an individual to work in a band 3 capacity, gaining experience to help shape a future career goal.

    We are seeking an individual that is not only enthusiastic and forward - thinking but also kind and caring ensuring they are putting the patients and families first throughout their journey of our service.

    You will be providing secretarial and administrative support to Senior Medical Secretaries, Consultants, junior medical staff, and any other staff. You will support the efficient channelling of communication between medical staff, GPs, patients, relatives, members of the public and other disciplines within the Trust.

    This is a role which can be challenging but also rewarding as you seek to support the consultants and patients/parents/carers to provide a joined up service where our patients will feel listen to and valued.

    Main duties of the job

    As a team player you will be responsible for providing a support secretarial service to the Children's Directorate. The post holder will be required to use computerised systems such as PAS (Patient Administration System), Bluespier and digital dictation.

    The successful candidate will have previous secretarial experience and will possess excellent organisation, communication, typing skills and the ability to work in a team environment.

    Job responsibilities

    To provide secretarial and administrative support to the Senior Medical Secretaries within the Childrens Directorate as set out below:-

  • To undertake medical audio/copy typing including outpatient letters to GPs, discharge summaries and other official correspondence. To use own initiative to ensure that necessary investigations, procedures or further appointments referred to in correspondence have been actioned.
  • To be responsible for sorting day-to-day incoming mail, taking action as necessary.
  • To input accurate data into the computerised Patient Administration System (OASIS) and to be responsible for providing accurate and up-to-date information relating to clinic lists.
  • To process Advice and Guidance Requests.
  • To handle telephone enquiries from patients, relatives, GPs, other Hospitals and Consultants, initiating appropriate responses under own initiative.
  • To arrange meetings and prepare meeting papers.
  • To make appointments for the clinic through the booked admissions system, inviting patients to telephone to discuss a mutually agreeable date for their procedure.
  • To liaise with Medical Records, Outpatients, Radiology and other relevant internal and external departments with regard to patient care.
  • To ensure that patient case-notes are up-to-date and accurate by actively participating in the filing of patient related documentation at the earliest opportunity.
  • To be responsible for the addition of patients to the waiting lists and make minor changes to the waiting list as necessary.
  • To undertake validation of waiting lists.
  • To request and receive investigation reports drawing the Consultants attention to same and taking any necessary follow-up action.
  • To undertake general administrative duties such as the inputting of audit data, the production of rotas and material for meetings and presentations.
  • To establish patient information and produce patient documentation using the Patient Administration Systems as required.
  • To undertake photocopying and document collation as required.
  • To provide cover for members of the Senior Medical Secretarial team in times of high workload and staff absence.
  • To undertake any other relevant duties within the grade as deemed appropriate.

  • Minimum of 1 years previous secretarial / clerical experience

  • Knowledge of Microsoft Office.
  • Good telephone skills.
  • Excellent verbal and written communication skills.
  • Good organisational skills.
