UKCEH is looking for an experienced Workplace Administration Support to join our 600-strong team, contributing to scientific discovery and generating the data, insights and solutions that researchers, businesses and governments need to solve complex environmental challenges.

We have an exciting opportunity for an experienced facilities administrator to join our busy team in Edinburgh Managing the reception desk, being the first point of contact and creating a great first impression to staff and visitors A friendly and approachable communication style is essential in this busy role.

Your main responsibilities will include:

  • Induction of new members of staff, visitors, contractors and onsite contractor management
  • Responding to enquiries, answering the phone/switchboard, message taking, receipt and dissemination of deliveries, managing post
  • Dealing with confidential and sensitive documents/issues, maintaining confidentiality and discretion at all times
  • Providing computer administration support maintaining computer files, documents, databases, and responding to helpdesk requests
  • Procurement raising purchase orders, receipting, invoicing, resolving queries/issues
  • Fleet management prompt booking request management/coordinating MOT's, servicing and repairs, fuel card management
For the role of Workplace Administration Support, we're looking for somebody who:

  • Has experience working in a reception/admin role and who is customer focused
  • Has excellent written and verbal communication skills
  • Intermediate skills in Microsoft Office 36
  • especially Outlook, Word, Excel and Teams
  • Detail oriented, understands the need for accurate record keeping
  • Works well independently and as part of a close-knit team, able to reprioritise in a busy role with competing tasks
  • Previous experience working within a Facilities/Estates department would be an advantage
