An exciting opportunity has come up for a 30 hour a week, MND Administration Assistant in the Neurology specialty working with the Motor Neurone Disease team.

The post is an 18-month fixed term contract. We are looking for an enthusiastic and energetic individual to work in this extremely busy department.

The post is to provide the administration for the Neurology MND clinical team and to ensure patients' pathways are monitored and kept up to date.

The post is interesting and varied and requires the ability to work as a member of a team.


The post holder will be responsible for making an active contribution to the management and co-ordination of the work of the clinical office/workload.

This will include
- ensuring the delivery of a high quality service to the MND team
- enabling the delivery of all access standards
- compliance with administrative process, policy and guidelines.
- be part of the team providing Gold Standard care to people with MND and their family's carers and professionals who work with them


The post is to provide the administration support for the MND clinical team and to ensure patients' pathways are monitored and kept up to date.

MND Peninsula team specific responsibilities

  • Attend MND MDT meetings, plus steering group meetings and other patient related meetings to take minutes
  • Attend MND Clinics to help with management of clinic as well as planning/booking of them
  • Be involved in specific data collection to support the service
  • Have an empathetic manner when dealing with distressed patients and families, or bereaved family members
  • To be able to type patient letters and clinic reports
  • To be able to use an Excel database to manage data collection
  • To be able to work as part of a closeknit team
  • Be able to work both in the team or alone in the office at times
  • To obtain results/reports etc from systems such as ICM/Insight/IPM
  • Filling out MND Association grant forms
  • Audio typing using Big Hand
Motor Neurone Disease Association Responsibilities

  • Be aware of MND Associations role as part funders of this post
  • Liaise with the MND Association professionals on key issues
  • Be up to date on latest literature and updates from MND Association
  • Ensure MND Association is kept updated on patient's status, especially new addresses/phone numbers and deaths
  • Understand processes for ordering literature from MND Association
Hospital/neurology general responsibilities

  • Have knowledge of the latest local and national access standards and targets relevant to the specialty.
  • To support the proactive management of all relevant waiting lists and target reports, ensuring that patients do not breach their target waits including 2ww patients in accordance with local and national guidelines.
  • Ensure that patients are proactively managed and are 'pulled' though the administrative systems designed to support their care journey e.g. obtaining diagnostic results for review, DNAs, removal from waiting lists, expediting referrals etc
  • Ensure that all data quality issues are minimised.
  • Action data quality and other reports as directed by the Clinical Administration Manager.
  • Patient notes and audit management where relevant.
  • Ensure you follow the Trust's APN guidelines and any other standard processes within the Trust.
  • Ensure that all outpatient clinical sessions are booked with appropriate patients in an effective and efficient way who do not require the support of the OAC department.
  • Ensure correspondence received into the department is dealt with efficiently and effectively.
  • Attend specialty meetings and take minutes of these meetings
  • Ensure that standard process is followed about the management of clinic cancellations.
  • Ensure that patients who are on a longterm condition pathway are managed in accordance with clinical protocol and trust policy, where relevant.
  • Ensure that patient casenotes are managed in accordance with Trust policy
  • Ensure that phone queries from team & patients are answered & dealt with in a timely way.
  • Be fully conversant and comply with all Trust standard processes, policies, and guidelines.
  • Actively contribute towards the achievement of all administrative quality and performance standards
  • Take an active role in all processes designed to support the clinical pathway.
  • To support the management of clinical commitments and the diaries for the relevant clinical team.
  • Respond in a prompt fashion to all complaints in order to minimise the risk of them becoming more formal, seeking advice where necessary
  • Communicate with a large amount of health/social care and charity staff, including GPs and deal with anxious patients and their relatives/carers with tact, patience, and discretion.
  • Cover colleagues during annual/sick leave. Supervise new staff/students and support colleagues/other staff when required
