    Job overview

    We are recruiting for an Engagement and GP Liaison Assistant who shares our vision to be trusted to provide consistently outstanding care and exemplary service to our patients.

    You will be required to support the Trust's GP liaison, and communications and engagement offices by managing the team's administrative activities.

    Your role will support the Trust to achieve and maintain effective levels of engagement with a range of groups including the Trust's public members, community groups, GPs and local authorities.

    You will provide administrative support for all GP and stakeholder engagement activity, including event and database management and undertake day-to-day functions of the communications and engagement, and GP liaison offices.

    You will be required to have an organised, flexible and team-orientated approach to your work, use your initiative and work with minimum supervision to tight deadlines. You will be required to attend and support engagement events, some of which may be held in the evening, and represent the department and Trust professionally, both internally and externally.

    Main duties of the job

    As a key member of the communications and engagement team, you will:

    Be instrumental in supporting the GP liaison helpline.

    Help drive our public, patient and membership engagement in improving our services, care and processes.

    Provide wider support to the communications and engagement team on events and campaigns.

    Assist with the management of the GP liaison database including the logging of details accurately, liaising with external partners to acknowledge the queries, liaising with the clinical teams to ensure prompt, professional resolution of the queries and updating of database when necessary.

    Effectively maintain all public member records on the Trust's membership database and act as the Trust's expert user / database administrator, ensuring GDPR compliance.

    Receive and provide hospitality for visitors / meetings on request.

    On behalf of the Assistant Director – Communications and Engagement and GP Liaison Officer, supervise interns and / or volunteers, providing guidance on tasks as required.

    Assist with the planning and execution of the Trust's Annual General Meeting including co-ordinating venues, catering and materials required.

    Assist with the planning and execution of internal and external engagement including co-ordinating venues, catering and materials required, attending events as necessary.

    Essential criteria

    • Computer/admin qualification
    • English to A-level standard or equivalent

    Previous Experience

    Essential criteria

    • Administrative experience including office management
    • Database development and data maintenance experience
    • Proven ability to work without supervision
    • Experience of collating information or reports from a range of contributors
    • Ability to prioritise workload
    • Proven ability to work to tight deadlines
    • High level communication skills - ability to liaise with senior people on sensitive and important issues

    Desirable criteria
