These are progressive times and with the recent expansion and remodelling of Lewisham and Greenwich NHS Trust, an opportunity has arisen for a Community Clerk to join one of our well established community midwifery teams in their deliverance of high quality care to our women/birthing people and their families.

You will be supporting the team and providing an efficient and professional support service for both patients and clinicians.


Organisational, administrative and computer skills are essential, as part of your role will involve organising and booking appointments for women/birthing people including methodically organising collection of notes and filing.

As well as the ability to work in a pressurised and busy environment.

The post-holder should also have a good standard of numeracy and literacy, be able to work unsupervised as well as part of a team and be of smart appearance


The successful applicant will be experienced and provide comprehensive administrative and clerical support within the teams Flexible approach to working hours, good customer care skills and effective communication skills are essential as you will be required to converse with both clients and staff.


Driving and access to a car are essential as you will be required to travel between the community base and University Hospital Lewisham.

You will provide efficient and effective reception, administration, ward and clerical support to the team and team leader.


The administrator would be part of a community team of midwives and the job role will develop accordingly, including excel spreadsheet data entry and helping with the postnatal discharge summaries.

JOB PURPOSE
To provide efficient and effective reception, administration, ward and clerical support to the Directorate.


KEY TASKS

  • To work generically within the Directorate, including the community based teams, rotating to all positions.
  • To administer Directorate outpatient clinics and appointments, including processing GP referrals, creating new IT patient accounts where necessary and retrieving/making up hospital notes.
  • To deal with queries from patients, medical staff and the public, including operating the intercom entry system to locked wards
  • To telephone or fax out information (incl maternity patient transfers) to the community teams or other hospitals and to receive transfers into the site.
  • To process documentation relating to patient care and Directorate activity.
  • To maintain the Directorate hospital records library liaising closely with the medical records department and collecting/delivery notes to medical records, and including the making up of the hand held notes carried by the by the client.
  • To work closely with Clinicians and provide the administration support for their outpatient clinics, including making and rescheduling appointments and obtaining/preparing the case notes.
  • To provide support to the Specialist Nurse/Midwife lead clinics, including making appointments and preparing notes.
  • To input data onto and retrieve data from patient record IT systems as appropriate.
  • To adhere to the Trust Chart Tracking Policy and maintain good practice when dealing with patient information.
  • To work according to established protocols/procedures and required standards.
  • To greet and assist patients, clients, healthcare professionals and visitors to the Directorate, responding to all enquiries in an efficient and courteous manner in line with Trust behaviour standards.
  • If ward based, perform clerical duties in a variety of different settings as directed by the ward manager or other supervisory member of staff.
  • If based in the Direct Referral Team, perform clerical duties to manage the referral and booking appointment pathway which includes: opening maternity encounters, organising maternity booking appointments and ordering the first maternity ultrasound scan.
  • Admit, transfer and discharge patients via patient record IT system and ensure that relevant paperwork is generated and processed.
