We are a reputable Multi Academy Trust based in Nottingham, committed to providing high-quality education and support to our schools and their communities.

We are seeking a motivated and enthusiastic individual to join our team as a Project Administrator Apprentice.

In this role, you will provide essential administrative support to various projects and events within the Flying High Partnership, ensuring their successful implementation and delivery.

Additionally, you will also offer basic finance support to assist in financial management tasks.


Project Support:


  • Assist project managers in coordinating and monitoring project activities.
  • Maintain project documentation, including project plans, progress reports, and meeting minutes.
  • Track project timelines and deliverables to ensure timely completion.
  • Liaise with project team members, stakeholders, and external partners to gather information and provide updates.
  • Assist in the preparation of project presentations and reports.

Administrative Tasks:


  • Provide general administrative support to the project team, including scheduling meetings, arranging travel, and managing correspondence.
  • Organise and maintain project files, records, and databases.
  • Prepare and distribute project and eventrelated materials, such as agendas, presentations, and training materials.
  • Assist with data entry, data analysis, and reporting as required.
  • Collaborate with other administrative staff to ensure smooth project operations.

Basic Finance Support:


  • Assist with basic financial management tasks, such as processing invoices, expense claims, and purchase orders.
  • Maintain accurate financial records and documentation.
  • Support the monitoring and tracking of project budgets.
  • Assist in financial reporting and analysis, providing data and information as needed.
  • Collaborate with the finance team to ensure compliance with financial policies and procedures.

Event Coordination:


  • Provide support in organising and supporting events hosted by the Partnership.
  • Assist with venue selection, logistics planning, and vendor coordination.
  • Assist in creating event materials, including flyers, invitations, programs, and signage.
  • Coordinate event registrations, including attendee lists and communication.
  • Support onsite event management, ensuring smooth execution and attendee satisfaction.

Communication and Coordination:


  • Serve as a point of contact for project and eventrelated queries, both internally and externally.
  • Communicate project updates, deadlines, and requirements to team members and stakeholders.
  • Support meetings and workshops, including booking venues, arranging refreshments, and sending invitations / joining instructions.
  • Maintain effective communication channels between project team members and stakeholders.

Continuous Improvement:


  • Identify areas for process improvement and suggest innovative solutions.
  • Contribute to the development and implementation of best practices and standard operating procedures.
  • Participate in training programs and workshops to enhance project management, administrative, and event coordination skills.

Desirable Qualifications:

Minimum of GCSEs (or equivalent) in English and Mathematics at grade C/4 or above.


Essential Skills and Abilities:


  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Excellent attention to detail and accuracy in work.
  • Proficient computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Effective verbal and written communication skills.
  • Ability to work well in a team and collaborate with colleagues.
  • Proactive approach to problemsolving and ability to work under pressure.
  • Professional and confident telephone manner.

Desirable Skills and Abilities:


  • Experience in an administrative role or office environment.
  • Familiarity with project management concepts and tools.
  • Knowledge of education sector and school operations.
  • Basic understanding of financial management principles.
  • Event coordination or support experience.


This apprenticeship opportunity will provide you with valuable experience and training in project administration and basic finance support within the education sector.

You will work closely with experienced professionals, gaining practical skills and knowledge to support your professional development.

You will undertake a Level 3 Business Administration Apprenticeship via Train Together.

We offer a salary above the Apprentice Minimum Wage and a supportive working environment.
