    A global Japanese trading house is currently recruiting an Administrator to work in London.

    The Administrator will be responsible for providing professional and good secretarial support and personal assistance to Chief Representatives as well as administrative support to Expatriate Human Resources & General Affairs Department on Entertainment and Security Management tasks.

    LOCATION:
    Central London (Currently company is providing Hybrid work however due to the type of work you might need to be in the office)

    Administrator Main Responsibilities:

    • Arranging meetings and managing diaries
    • Organising business and personal trips both within and outside the UK
    • Meeting and greeting high profile customers and guests
    • Managing budgets and accounts (incl. bookkeeping) and processing and recording all the expenses, residency, and keeping the records of all the expenses properly for accounting purposes
    • Organising lunches, dinners, parties, and receptions
    • Responsible for booking golf club memberships, record logs, bookings, fees, and expenses
    • Dealing with customers and client hospitality – such as booking them into hotels, arranging transportation, buying gifts, booking golf courses, etc. when required
    • Dealing with all relevant activities (incl. Ringi preparation for the membership) needed for Nippon Club, Japanese school, JCCI, Japan Society and all other Japanese societies and Japanese social activities related matters involving in the UK
    • Advising on and assisting in choosing and booking restaurants and other venues for functions
    • Acting as an intermediary between members of staff and customers
    • Supporting HR department on Entertainment and security management tasks
    • Dealing with Car leases and Chauffeur companies
    • Providing support to Personal Assistants to the Managing Director as and when required Senior Business Assistant /

    Administration Manager Ideal Candidate:

    • A bright professional, with a flexible approach
    • Well-organized with the ability to use their initiative
    • High levels of literacy and numeracy
    • Native level of English
    • A good working knowledge of Word, Excel, and PowerPoint is essential along with the ability to communicate effectively using e-mail
