Our client is seeking an experienced EA
You will ideally have experience working within membership, healthcare or education.
Who will you be working for?
Our Client is an innovative healthcare organisation located in the City of London.
What will you be doing?
This role provides day-to-day administrative support and assistance as needed to the Director of People and Operations to deliver the directorate's strategic objectives.
Your responsibilities will also include:
Board and Committee Support
- Health and Safety Committee
- People and Operations Leadership Meetings
- Board meetings
- Take professional and focused minutes in line with consistent branding for review
- Organise catering, room bookings and any AV requirements ready for meetings
- Arrange venue hire, hotel accommodation and travel for the Director, as required
- Process expenses, invoices, raise purchase orders and verify services
Project Support
- Provide support to and/or lead on discreet projects that support the directorate, as and when required
- Coordinate and facilitate interdepartmental, directorate and/or external meetings to support specific projects and short life working parties
General Administrative Support
- Manage the coordination of hospital visits for new starters, as required
- Work in partnership with the other Executive Assistants / Business Coordinators to coordinate and input all Board, Committee, Governance and leadership meetings
- Coordinate the Director's 121 meetings and external appointments
- Produce monthly sickness absence reports
- Ensure the Director has a desk booked when planning to work from the office
- Book meeting rooms as required on behalf of the Director for key internal and/or external meetings
You will need:
- Proven experience as an Executive Assistant or Business/Team Coordinator, preferably in a membership organisation or within the medical education sector
- Proven experience of managing all aspects of committee administration, including preparation of agendas and collation of supporting papers, recording professional minutes and actions arising from meetings etc.
- Experience of drafting official responses and communications
- Experience of managing a varied and extensive workload, juggling multiple tasks and prioritising under pressure
- A high degree of discretion and confidentiality
- Ability to work independently and with mínimal supervision
- Excellent communication skills, including written, verbal and presentation
- Intermediate level MS Office (Excel, Word, PowerPoint, SharePoint) skills
- A commitment to maintaining high customer care standards
- A commitment to knowing and upholding organisational values
- Educated to 'degree' level, or equivalent work experience
