Description and requirements:
Skanska UK PLC have an exciting opportunity available for a Personal Assistant.
The role will directly support and act as the administrative point of contact for Infrastructures Technical Director, Customer & Markets Director and Operations Director to ensure effective leadership support as well as delivery of quality team related activities
Key Accountabilities:
- Managing and administering the scheduling of weekly, monthly, quarterly meetings. Checking where conflicts occur and resolving in good time. Checking actions from LT meetings by liaising with your respective LT member to ensure that action /follow up items have been addressed ahead of each meeting and that documentation and information is prepared in advance and placed in relevant Teams Channel in a timely manner.
- Ensuring preparation of documentation, presentations etc. for internal and external meetings are actioned in advance to ensure smooth running of meetings.
- Assisting with Talk Time and Board Report submissions and deadlines as appropriate and ensuring respective LT member submissions are collated in a timely manner. Accountable for chasing and escalating where required.
- Organise travel arrangements for leadership team member(s) in accordance with Travel policy. Advise others as appropriate to make their own arrangements.
- Management and coordination for conferences/events and assisting with LT biannual conference and biannual roadshows as and when required (managed initially by PA to MD in the first instance)
We're Looking For:
- Experience as an Executive Assistant / Office Manager or Personal Assistant reporting directly to senior management
- Advanced Microsoft Office skills
- Advanced OneNote skills
- Proven organisational and project management experience
- Exceptional stakeholder skills must be able to deal with people at all levels
- Excellent communications written and verbal
- Ability to priorities, organise, multi task and escalate to lead PA or relevant LT Member.
- Able to travel when required to support Leadership team.
