    Bank Administration Officer

    The post holder will be responsible for providing an accurate and comprehensive secretarial and administrative support to Clinical Teams including Forensic Consultant Psychiatrists, Social Workers, Occupational Therapist, Psychologist. As a Bank Administration Officer you may be asked to work in any area of the hospital

    Main duties of the job

    1. Duties will include arranging appointments for visiting professionals, organising meetings, minute taking, audio and copy typing, circulating relevant documentation and general day to day administration for the Clinical Team.

    2. To support pre-admission and new admission paperwork in liaison with both internal and external departments and agencies regarding any legal requirements.

    3. To support and co-operate Clinical Teams to achieve a high standard of patient care.

    4. To arrange Safeguarding Adult Strategy meetings, Safeguarding Children Governance and Child Visit Panel meetings. To prepare agenda packs, take minutes for these meetings and the Broadmoor Safeguarding Adult panel meetings and associated paperwork and follow-up reports and information. Update Broadmoor Safeguarding User Guide, C11 Child Visit Policy and various reports for Bracknell Forest.

    5. Coordinate the child visit application process including the paperwork and liaising with the families and local authorities and producing the relevant forms for face to face and virtual child visits and inputting the information into RiO.

    Job Summary:

    Qualifications and Training

    Essential

  • Minimum of 5 GCSE's or equivalent at Grade C or above (including English).
  • Typing qualification to intermediate/advanced level (CLAiT Level 3/RSA II.
  • NVQ Level 3 (or working towards) in Customer Care/Administration
  • Desirable

  • Diploma in Administration.
  • qualifications in Microsoft packages.
  • Shorthand/speed writing qualification
  • Experience

    Essential

  • Administration/secretarial background (minimum 2 years).
  • Highly competent user of Microsoft packages (Word, Excel and PowerPoint) and experience of using these for a substantial part of the day
  • Experience of using databases (MS Access).
  • Diary management.
  • Taking and transcribing notes/minutes.
  • Proven ability to work on own initiative, to problem solve and introduce/improve office systems.
  • Desirable

  • Previous experience within an NHS setting and the use of patient information systems.
  • Database experience, searching and analysing data.
  • Spreadsheet use and experience of managing / monitoring budgets.
  • Understanding of medical terminology
  • Audio typing experience
  • Use of MS Publisher

    Essential

  • Understanding of data protection and confidentiality.
  • A high degree of accuracy, particularly when managing frequent unforeseen interruptions.
  • Ability to work flexibly, switching tasks at short notice to meet tight deadlines.
  • Data entry, touch typing and audio skills at minimum 45wpm.
  • Accurate record keeping skills (paper and electronic).
  • Excellent time management skills and ability to prioritise.
  • Excellent communication skills (written and verbal).
  • Able to take / action a variety of telephone calls from a diverse range of callers, showing competency and empathy in difficult situations such as dissatisfaction, aggression and bereavement.
  • Ability to work as part of a team or independently, using own initiative
