Receptionist/Administrator

The Receptionist Administrator will be confident, able to use own initiative, well organised with a can-do attitude.

They are responsible to the HR & Office Manager for greeting and welcoming guests, receiving, and delivering all incoming and outgoing mail and packages, answering all calls and directing as needed, scheduling meetings, and coordinating other office activities, while ensuring the smooth running of the front desk reception area.


Responsibilities:


  • The Receptionist Administrator will manage the day to day operations of the reception area while keeping the area tidy and presentable
  • Greet and welcome guests, including IT onboarding of new starter employees
  • Answer all incoming calls as well as screening and redirecting as required
  • The Receptionist Administrator will manage all post services including the receipt of letters, packages etc. and distribute appropriately
  • Accept deliveries ensuring dissemination in a timely manner
  • Prepare outgoing mail as required
  • Monitor office supplies and place orders when requested or as necessary
  • Keep updated records and files, eg, Telephone List and distribute accordingly
  • Monitor office stationery expenses ensuring best value against each order
  • Ensure effective and timely travel arrangements and schedules are made/booked, logged and accurate details forwarded as required
  • Effectively manage the office wear items and any issue of office wear is in line with current practice/policy
  • The Receptionist Administrator will assist the Sales Administrator with case studies, CVs, organograms etc
  • The Receptionist will assist the H&S Administrator with PPE ordering, accountability and returns
  • The Receptionist will assist HR with onboarding, in particular PPE and Office Wear requirements
  • Provide any other ad hoc administrative support appropriately

Job Requirements:


  • Proven strong verbal and written communication skills
  • Smart presentation with a friendly and welcoming persona
  • Ability to manage priorities
  • Fast and accurate data entry skills with excellent attention to detail, Microsoft Office 36
  • Flexible and able to work independently, managing the front desk and reception area
  • Experience of Reception/other administration activities
  • Selfdriven with a solutionorientated approach
  • It is desirable if the Receptionist is able to conduct IT onboarding but not essential
