    Purpose of Statement:

    The Executive Assistant will provide a high quality and efficient administrative service to the General Manager and other senior members of staff. The position is part-time and will be based on-site at our Hull offices.

    Key Responsibilities:

    • Managing incoming phone calls and emails, event logistics and team meetings.
    • Supporting the Management Team on diary management, travel arrangements and processing expenses using SAP Concur.
    • General day-to-day administration such as meeting coordination.
    • Assisting the wider business with general administrative duties as required i.e. note-taking, data entry, etc.
    • Producing weekly and monthly reports and sharing with relevant parties.
    • Active management of the systems and databases, such as SharePoint.
    • Any other reasonable duties, as and when requested.

    Compliance:

    • Adhere to the Company's compliance obligations, policies, processes, and procedures.
    • Report compliance concerns, issues, and failures.
    • Participate in training as required.

    Candidate Requirements:

    • Previous experience in an administrative support role (within a manufacturing environment would be advantageous).
    • Strong administrative skills and a keen eye for detail is essential.
    • PC literate and proficient in the full MS Office suite.
    • Expense management using SAP Concur would be advantageous.
    • Strong communication skills, both written and verbal, with the ability to communicate effectively with stakeholders at all levels.
    • Ability to work as part of a team and on own initiative.
    • Ability to multitask, organise and prioritise workloads, ensuring strict deadlines are met.
    • Comfortable and confident in handling a wide range of data (including sensitive and personal information).
    • The ability to maintain the highest standards of confidentiality in all aspects of work and be a trusted and professional ambassador for Kingspan.
