Description

Our client, a leading brand loyalty agency based in London, has an opening for an experienced Commercial and Operations Director to join their team to lead, develop and shape our Commercial & Operations Function.

The role will be part time (3 days a week)on a hybrid basis.

Reporting to the MD and supporting the CFO, you will be responsible for:
Capacity Management

  • Leadership & management of agency capacity & timesheets including resource planning, tracking timesheets, reporting, reconciling and making recommendations to improve
Programme & Project Management

  • Leadership of Project Management Function
  • Ensuring efficient and productive workflows, structures and practices across all commercial and operations functions (from new client set up to PO processes)
  • Running the Agency Weekly Status Meetings
Commercial Management

  • Running the Monthly Numbers Meeting reviewing and actioning forecast, profitability, capacity and timesheets
  • Working closely with the leadership and finance teams to manage the forecast, invoicing, agency commercials (inc client profitability) and P&L
  • Leading quarterly client financial reviews and leading any client specific commercial requests (e.g. from invoicing update or reconciliation update through to audit)
  • Managing client, partner and supplier commercials (for clients and for agency)
  • Preparing agency fee proposals and leading agency fee renegotiations with clients
  • Driving operational cost saving and revenue growth initiatives and innovations to ensure agency growth and target achievement (e.g. introduction of a referral fee agreement)
Legal Management

  • Leading and developing the relationship with legal counsel
  • Leading & managing the client contracting process, including managing client contracting systems and process
  • Supporting the Head of Partnerships and Partnerships team managing Partner & Supplier contracting including DPAs
HR

  • Recruiting and line managing a new HR Advisor (job spec & recruitment in progress) ambition for 2023
Financial Management and Reporting and Audit

  • Preparation and management of monthly revenue (Net Sales) for monthly financial reporting. Reporting to CFO.
  • Monthly Revenue/Net Sales variance analysis.
  • Monthly review with Project Management and Finance Manager of all Passthrough cost Job Cards
  • Supporting CFO in preparation of financial Year Budgets/Forecasts on quarterly basis
  • Preparation of VAT returns
  • Supporting CFO with annual statutory audit and client audits
Sox compliance

  • Support CFO with existing SOX controls including continual review and design improvement.
  • Maintain SOX control documentations and policy notes
  • Ownership of SOX control compliance for monthly 'Close the Books'
  • Ownership of SOX control compliance for monthly 'Revenue'
  • Ownership of Data compliance.
Compliance

  • Formalising, designing and documenting agency processes in line with company procedures and guidelines ensuring adherence to the Internal Control Framework and the Risk Controls Matrix
  • Leadership of the Agency understanding and compliance with policies and procedures, including client set up, contracting and DPAs.
Ideally you will have 10 years+ operations/finance experience gained within a previous branding / marketing / creative agency with strong commercial skills and great project and programme management skills
