Executive Assistant to CEO


Location:
Office / Hybrid working


Working Hours:
Mon-Fri -8am-5pm


Salary:
Negotiable depending upon experience + company bonus (up to 20% of base salary) + benefits package

We are proud to be supporting our client, a family-run business with its roots firmly in the Northeast. The business is over 50 years old and now employ over 500 people across a UK wide Depot network.

The business delivers plant, site accommodation, welfare facilities, portable toilets, and solar product hire needs to a wide range of customers and has an exceptional reputation for delivering service and quality.


The business is passionate about their people, hiring skilled, experienced & knowledgeable people who know take the time to get to know the local area and customers.

An opportunity has arisen to join the business as Executive Assistant to CEO & Leadership Team which will also include some key office management duties:


Key duties include:


  • Manage diary of CEO proactively, sense checking commitments in line with priorities
  • Manage CEO's inbox, responding, delegating, and prioritising where necessary.
  • Book travel and accommodation globally as required.
  • Conduct research & manage projects as requested.
  • Work with CFO & Leadership team to prepare meeting packs, distributing accordingly.
  • Attending meetings as required, taking minutes & actions.
  • Ensure minutes and actions circulated promptly after meeting, acting as custodian to ensure actions expedited on time and full updates received prior to key meetings.
  • Manage room bookings, refreshment requirements and any associated arrangements for inhouse and external events.
  • Arrange and manage corporate entertainment and social events as requested.
  • Liaise with colleagues and external contacts as required.

Additional office management duties include:


  • Manage arrangements and service delivery from third party cleaning and maintenance companies to ensure the upkeep and appearance of the office and grounds.
  • Order and manage office consumables using the online purchasing system.
  • Manage fire alarm tests and maintain required records.
  • Liaise with the SHEQ team to ensure Health and Safety policies are up to date and displayed correctly.
  • Manage post and deliveries as required.
  • Manage Car Parking & visitors' parking.

Skills & experience required:


  • Significant experience of working with and supporting Csuite stakeholders at EA/PA level
  • Ability to have a good understanding of the business plan, strategy, and priorities.
  • Advanced skills in Microsoft office packages (word/excel/outlook/PowerPoint/SharePoint/teams etc.) coupled with the ability to produce reports, presentations, and documents to an exceptional standard
  • Demonstrate flexible approach with the ability able to prioritise and switch priorities as needed.
  • Resilience and patience essential in relation to negotiating meetings in multiple diaries as well as other duties.
  • You will have strong commercial awareness, strong analytical skills: analysing data and reporting on conclusion and recommendations.
  • As a trusted colleague to the SLT you will be ethical and trustworthy, always maintaining confidentiality & discretion.
  • You will be proactive in managing relationships and a skilled communicator with both internal & external stakeholders

Salary:
£28,000.00-£30,000.00 per year
