Job summary:


Estates and Corporate Health Safety & Environmental Protection Group (Estates) sits within Operations Division, providing the platform and capability to enable the delivery of high impact S&T, maintaining the legacy, delivering the now and planning for the future to ensure Dstl can continue to deliver Defence and Security S&T.

The Contract Management Coordinator is responsible for coordinating all the tactical activities across Estates' contracts.

Supporting and/or deputising for the Estates Contract Manager for the Business Support Services delivery contracts, on behalf of the Estates Contract Management Leader.

This will involve proactive engagement with Senior stakeholders and the enabling services.

Job description:


In this role you will:


  • Act as a point of contact for the Estates Contract Manager and/or Estates Contracts Management Leader, being the representative for relevant meetings, including those with the enabling services, and reporting back accurately (minutes).
  • Meeting management, inc organising; attending; and deputising relevant internal/external meetings and coordinating with all stakeholders as and when required (e.g. DIO)
  • Daytoday engagement with suppliers and major stakeholders to monitor performance and collate relevant data to produce Quarterly internal Environmental report
  • Ensure provision of updates to live actions, analysing performance, through proactive engagement with Senior stakeholders and/or the enabling services. To aid our ability to identify achievements, risks and issues associated with the delivery of the BSS service contracts.
  • Maintain a good understanding of the Contractor's Quotation process to enable me to produce a service management instruction which is sent to the FM provider
  • Assisting with the on boarding of contractor staff to Dstl sites by engaging with Dstl security team.
  • To engage with Dstl communications team for internal communications and updates to be uploaded on the internal intranet pages
  • Updating the stakeholder map with new contractor staff for use within Dstl and the contracts management team.
  • Collaborating with the Contract Manager in producing the Weekly/Monthly Dashboards and producing and continuously improving MI data to show trends and areas where the organisation can improve. Collated information is provided within the Contracts management team and Dstl senior managers to inform decisions.
  • Coordinate customer surveys to support us establishing and maintaining collaborative supplier relationships to drive customer experience in line with the Operations Division Strategic Focus

Important Information


This role will require full UK security clearance and you should have resided in the UK for the past 5 years.

For some roles Developed Vetting will also be required, in this case you should have resided in the UK for the past 10 years.

We are looking for someone who has:

  • Broad administration experience
  • Good written and verbal communication skills
  • Highly organised with attention to detail
  • The ability to influence and manage difficult conversations
  • The ability to deliver within a fast paced delivery environment to time bounded deadlines

Qualifications:


  • Qualifications


  • Essential

  • Evidence of good standard of general education e.g. GCSEs or equivalent including English and Mathematics at Grade C or above.
  • Government Contract Management Capability Programme (CMCP) Foundation Level Accreditation. If not already held, the Foundation Level should be passed within 1 month of commencing the role
  • A willingness to undertake further training and CPD related to the role.
