We are offering a super opportunity to deliver the Personal Assistant Role to the Divisional Director of Quality and Nursing (DDQN) and the Deputy Divisional Director of Quality and Nursing (DDDQN) for D+S.

Provide administrative support to the divisional nursing team to facilitate the smooth running of the divisional nursing service.

To support the wider divisional administrative tasks in consultation with the Divisional Lead Administrator.


Your main base will be at Cheltenham General Hospital, there will be an expectation that you work closely and cross cover the Lead Divisional Administrator who is based in Gloucester Royal Hospital.

We will be available 5 days a week (Mon-Fri) between 9 -5pm.

  • Provide an efficient and effective administrative service to the DDQN and DDDQN in the D+ S Division
  • Act as a central point of contact for the wider divisional nursing teams
  • Collate all documentation and actions from divisional quality and nursing meetings chaired by the DDQN and

DDDQN:
Quality Assurance, Quality Improvement, Health and Safety, EPRR, Accreditation, Review and Ward Manager Meetings utilising the divisional SharePoint.

  • To Liaise with the Divisional Lead Administrator re specific wider divisional administrative tasks required
  • To deal confidently and professionally with various issues as they arise, prioritising the workload, working accurately and in a timely manner
  • To work on own initiative, making effective and efficient contribution
  • To work flexibly within the demands of the post

To provide and prioritise comprehensive administrative support to the Diagnostics and Specialties Director and Deputy Director for Quality and Nursing which includes:

  • Maintaining their electronic diaries, in order to assist their time management.
  • To take and distribute minutes, to type and distribute agendas and papers to groups in an efficient and timely manner, taking followup action when required.
  • To update any linked quality SharePoint pages
  • Collate all documentation and actions from divisional quality and nursing meetings chaired by the DDQN and

DDDQN:
Quality Assurance, Quality Improvement, Health and Safety, EPRR, Accreditation, Review and Ward Manager Meetings utilising the divisional SharePoint.

  • To set up meetings, arranging venues and ensuring availability of audiovisual aids, refreshments etc, and communicate them to all concerned in an efficient and timely manner.
  • To routinely update the senior nurses health roster in consultation with included individual staff for sign off/ approval by the DDQN/ DDDQN
  • To check NMC PIN numbers and notify nurses who have not renewed, updating on the health roster nursing system.
  • Ensuring efficient divisional responses for nursing service requests under the Freedom of Information Act (FOI).
  • To exchange sensitive/contentious information, maintaining confidentiality and using discretion. To negotiate with managers and medical staff to generate information within deadlines and arrange meeting dates.
  • To Liaise with the Divisional Lead Administrator re specific wider divisional administrative tasks required
  • To order items on P2P for wards and chase up deliveries, contacting companies if necessary. To receipt goods received on P2P.
  • Work autonomously, prioritising own work.
  • To photocopy and circulate documents as required,
  • To keep filing systems up to date.
  • To adhere to Trust Policies and Procedures.
