THE ROLE
Administration of the property in the Temporary Admission Inventory, processing TA transfers and Post Sale Imports.
RESPONSIBILITIES
- Working closely and collaboratively with other members of the TA and Operations teams
- Ensuring the accuracy of customs declarations for transfers between customs regimes
- Reconciling and reviewing data handled by third party agents
- Tracking expiry dates of items under TA and planning with the specialist departments for the property mid to long term
- Ensuring appropriate export papers are received for exported lots
- Liaison with HMRC, third parties, Sotheby's clients and other departments
- Keeping track of all open requests until closed
Specific tasks:
- Checking and submitting SDI's and SDW's in respect of transfers and home use entries
- Reviewing the GTS work lists daily and submitting entries as necessary
- Preparing manual entries as necessary
- Preparing quarterly reports to advise departments of expiring items
- Monitoring expiring items and clearing as appropriate
- Liaising with clients and their shippers regarding transfer of items under TA
- Quarterly reconciliation of Customs restricted property against inventory
- Ad Hoc duties as required
- Checking the status and values of TA items on request from different departments
- Keeping the TA Inventory clean, taking care of all IT system errors
- Communicating to IT all errors that appear, keeping track of all requests and outcomes
- Keeping up to date different department files or archives
IDEAL EXPERIENCE & COMPETENCIES
- Demonstrate a methodical approach to work and be able to work to deadlines
- Have good communication and client service skills
- Be computer literate (MS Office and SAP desirable)
- Demonstrate high levels of accuracy
- Experience in administration
- Ability to learn Sotheby's internal systems
- Administrator relevant experience of working with SAP / GTS and / or practical experience of customs regimes and reporting
- Assistant entry level role
