    Description

    We are seeking an efficient and organised individual to take on the role of Clinical Administrator for our healthcare assistant team. This pivotal position involves overseeing the scheduling of our Healthcare Assistants to ensure our 125+ clinics are adequately staffed with the necessary skills and training. The seamless execution of these duties is vital to maintaining the smooth operation of our clinics, minimising delays, and ensuring optimal patient care.

    Key Responsibilities:

    • Coordinate and manage the rota for healthcare assistants, ensuring appropriate skill sets and training requirements are met for each clinic
    • Ensure thorough clinical preparation by overseeing stock management and ensuring all necessary paperwork is readily available to prevent any potential delays or patient rescheduling
    • Organise regular team meetings, including agenda preparation and action item follow-up, in collaboration with management
    • Undertake any additional administrative tasks associated with the healthcare assistant team as required

    Main Duties:

    • Collaborate closely with the Clinic Operations Manager to mitigate cancellations or delays in clinics
    • Develop and manage the rota for the healthcare assistant team, ensuring continuity of service
    • Create and communicate rotas to key stakeholders and the team at least one month in advance
    • Address and resolve ad hoc rota queries from internal and external stakeholders promptly and effectively
    • Manage any last-minute changes to the rota due to unexpected absences, sickness, or fluctuations in activity levels to minimise disruptions to service continuity
    • Promptly escalate situations where no cover for a clinic can be found to the management team
    • Coordinate the procurement and accessibility of necessary equipment for clinic operations

    Candidate Requirements:

    Essentials:

    • Proficiency in Microsoft Office applications, particularly Excel
    • Previous experience demonstrating ownership of tasks and meeting deadlines
    • Skills in rota scheduling, administration, and strong organisational and communication abilities

    Desirable:

    • Experience in rota management
    • Background in a healthcare setting
