    Job summary

    The Team Administrator will provide a full and comprehensive administration service for multiple managers within the Directorate Management Team, ensuring a well organised and effective service.

    You will ensure each of your allocated managers / clinicians are well organised and are in receipt of all relevant tools required for the effective running of the service.

    In order to meet the needs of the Trust services, you will be required to work flexible in times of absence and sickness to provide consistence secretarial cover to managers and you may be required from time to time to work outside of your normal area of work and hours. The Trust reserves the right to change your normal area of work to any other location within the Trust.

    Main duties of the job

  • To maintain and manage all electronic diaries and use these diaries to arrange appointments and meetings for your allocated managers / clinicians.
  • To facilitate and coordinate events and all prevailing administrative duties including planning, agendas, take / type minutes (using paper and electronic methods), preparation of room and IT equipment, arrange venues and refreshments as required on request for meetings, workshops, investigations, training and supervision etc.
  • To develop and maintain appropriate bring forward systems for progress chasing, outstanding enquiries, comments and actions and be pro-active in utilising these systems and forward plan agenda items, supporting papers for minutes, training etc.
  • To ensure appropriate paper based and electronic filing systems are in place and ensure regular maintenance, in line with local and national legislation.
  • To ensure appropriate levels of stationery are available for the management team.
  • Identify and report any issues relating to Estates and Facilities using relevant systems.
  • To design, create, prepare and produce a range of complex documents from various sources and to specified deadlines, including all aspect of Microsoft Office Powerpoint, Excel, Word etc.
  • To assist in the preparation of reports and the monitoring of action plans for specific projects.
  • Identify and report any IT related issues using the relevant systems.
