    Job summary

    Using the organisations chosen e-workforce systems the role is responsible for the provision of accurate and timely analysis, interpretation and presentation of high-quality workforce information. Systems currently used, but not limited to: Access HR, ESR, OLM, EASY pay, Trac and e-rostering.

    Ensuring that the regular monthly, annual and ad hoc reporting analysis trends and narrative around workforce KPIs and requirements of the Board, Committees and Groups are prepared and distributed, are professional and accurate in their presentation and attention to detail. Making national workforce data returns on behalf of the Provide Group.

    Main duties of the job

    Responsible for the quality of information held on workforce information systems that will be used to provide the workforce reporting needs. Maintaining and updating systems as required. Ensuring action is taken to improve and maintain data accuracy.

    The role is responsible for the day-to-day management (recruitment, appraisal, discipline, performance and absence management) of the workforce team and other team members as required.

    The postholder will need highly developed specialist theoretical knowledge and practical experience in undertaking data analysis with both quantitative and qualitative data. The analysis will involve highly complex, sensitive or contentious datasets, potentially conflicting and incomplete data or where expert opinion may differ and will require the creative application of techniques and approaches for which no precedent exists.

    Job responsibilities

  • Manage and maintain the organisations workforce systems and to make effective use of these systems whether within the People Directorate or to support Service leads with their workforce planning. This may on occasion require self-directed learning to fully understand and to make effective and efficient use of the data capabilities of each system and the interplay between systems. Workforce datasets are sensitive, highly complex and potentially contentious. The postholder will analyse and interpret data, provide written reports to sub-committees of the Provide Group Board and subsidiary company Board committees.
  • Draft and deliver highly complex, sensitive or contentious statistical presentations to groups of varying size, to recognising that within their audience there may be barriers to understanding.
  • Act as the ESR/Systems subject matter expert, advising on the functionality / compatibility of systems and troubleshooting issues, assisting with troubleshooting, where necessary.
  • Act as the main contact for ESR and other key e-workforce systems as required.
  • Ensure the functionality of ESR & ACCESS HR is used to its full potential. Maintain key elements to ensure the abstraction of data and effective BI reporting is available. Undertaking data cleansing steps as necessary. Training key users as necessary to support.
  • Liaise with external bodies and suppliers of the Provide workforce systems as necessary with a view to improving systems or service provision.
  • Lead the Service Request (SR) process for service calls to resolve ESR functionality issues, liaising with IBM and NHS Central Team along with participating and escalating to regional ESR Special Interest Groups (SIGs) as necessary.
  • Manage and maintain work structures, positions etc within ESR and other systems, resolving system issues in conjunction with IBM, or other key e-workforce system providers.
  • Ensure the organisation has effective and robust establishment control process in place. Work alongside Finance colleagues to ensure that these are documented and maintained.
  • Ensure that you keep up to date and at expert user/analyst level for workforce systems in place within Provide.

    Qualifications

    Essential

  • Degree level qualification in relevant discipline
  • Highly developed knowledge through in depth experience and postgraduate study (masters level)
  • Desirable

  • Prince 2 or similar
  • Experience

    Essential

  • Extensive Workforce Information Analysis experience Knowledge of the applications and use of role workforce Information systems and analysis within HR specifically and organisations more widely.
  • Knowledge and understanding of the role of confidentiality policies, GDPR, Data Protection Act within a workforce analytics setting.
  • Advanced knowledge of running reports through NHS or similar based systems
