Job Purpose

The post holder will be part of the School's Operations Team and will be responsible for the planning, implementation and analysis of internal communications within the School of Social and Political Science.

This will involve creating internal communication strategies for school-wide projects, standardising the School's internal communications and optimising how the School operates and utilises their internal communication platforms.

The post holder will also support the Operations Manager in a supervisory role, acting as a supportive point of contact for the members of the Operations Team.

This will involve the delegation of daily tasks, as well as providing guidance and support to ensure that the team is operating effectively and efficiently.


Main Duties and Responsibilities

  • To provide communications and project planning support to wider School Management related activities and projects to ensure that communications represent the School and wider University ethos. This will involve management of priority projects, actions and wider communications.
  • To act as a key facilitator and triage of communication to the School Management team. The post holder will be able to clarify and advise on the purpose, scope and priority of communication approaches when required. This will require a comprehensive awareness of relevant Higher Education sectoral issues as well as School and University policies and procedures.
  • To develop and assure professional standards in internal communications. This will include the standardisation of content and communication channels as well as optimisation of the School's internal communication platforms.
  • To receive, review, forward and/or take appropriate independent action in respect of communication for the attention of the School Management Team. This will include ensuring written and verbal briefings and updates on key internal communication, activities and or policy updates as they arise in the operations of the School office.
  • To determine and draft appropriate content for, letters and other written communications on behalf of the School. The post holder should use their initiative and independent decision making regarding the content and most appropriate response.
  • To support the Operation's Manager in a supervisory role. This will include acting as a supportive point of contact for members of the Operations Team and to monitor individual progress and performance in line with the Team and the School's overall objectives.
  • To assist in the delegation of tasks among team members to ensure that all activities are completed on time and in accordance with established processes and procedures.
  • To act as a representative for the Operation's Team at School and College wide committee meetings.
  • To provide excellent customer service to internal and external stakeholders and to contribute to the enhancement of the University's international profile in line with the Universities strategic plan.
  • Undertake any other reasonable activities dependent on the needs of the School/team and as directed by the Operations Manager.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential
A1 Ability to demonstrate the competencies required to undertake the duties associated with this post, having acquired the necessary knowledge and skills in a similar role, or:


A2 A Scottish Credit and Qualification Framework Level 7 (Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.


Desirable

B1 Internal knowledge of the University of Glasgow systems and policies including but not limited to those concerning communications and media.

B2 A CIPR qualification.
