    Reporting into the PR & Events Manager, this role is pivotal in the day-to-day running of the press office, photography and social studios, and supports the whole business by owning the end-to-end Samples process.

    Tasks include scoping out monthly samples needed, contacting brands, ordering samples, monitoring orders and samples via detailed trackers, and management of the samples and press cupboards, as well as supporting the press team on daily email admin as needed.

    We're looking for someone who can remain calm under pressure, who thrives in a fast-paced team and can be flexible while working to meet the demands of the business.

    You'll also excel when it comes to collaborating with different teams across the business including Photography, Buying, Merchandising, Brand Partnerships and Social in order.

    Working closely with teams across the business, especially Marketing, Photography, Buying, Merchandising, Brand Partnerships and Social teams on the daily management, tracking and sourcing of product samples

    • Review the press office emails for samples requests from media partners
    • Communicate with brands and our Warehouse to organise and monitor the request of samples and ensure they arrive in advance of the shoots
    • Working with both our brands and internal teams to resolve any issues that may occur with receiving samples in time for shoots
    • Keep the sample tracker up to date with details of contact made with brands, tracking details, and estimated delivery dates of sample to ensure any delays are communicated with teams
    • Keep the sample tracker up to date with any relevant costs associated with PR sample requests and add these costs to the monthly press office budget
    • Keep the studio calendar up to date with creative style, image due dates, and details of products, including ensuring the samples are on track to arrive before the shoot day, and if not then rearranging the calendar based on other sample arrival dates
    • Store away samples once finished with shooting to keep all desk and studio spaces clear, ensuring the sample cupboards are kept tidy and organised
    • Help source any new backgrounds and props needed to fulfil the creative direction of photo shoots and social content
    A minimum of 1 year experience in an administrative role, ideally in a beauty, fashion or retail environment

    • Extremely well organised with strong planning skills. Very strong communication skills in person and over email, with a keen eye for detail when it comes to written and verbal communications, including spelling & grammar, and confident writing in corporate email prose
    • A strong level of diplomacy and confidence in communicating with brands and colleagues in a calm and clear way
    • Flexible and able to work in a fast-moving entrepreneurial environment with competing deadlines and priorities
    • Ability to thrive in an environment where your responsibilities will change based on the current project, problem or campaign
    • Strong Excel skills, and proficient in Microsoft Office programs
    • A keen interest in the beauty industry
