Key Responsibilities
Main Duties:
- Respond to daytoday tenant and client queries across the managed portfolios
- Deal with all aspects of utility recharges, including liaising with the utility consultants.
- Be aware of and assist in the advance planning for critical lease event dates such as rent reviews, lease expiries and options
- Assist in the transition of client/properties over to Savills property management and the setting up of new instructions and portfolios
- Build and maintain strong working relationships with existing clients
- Prepare in advance for client meetings and carry out any actions arising
- Be a direct contact for clients and tenants and be able to deal with their queries in a timely and efficient manner.
Reporting & Data Management:
- Ensure that accurate client reports are prepared to the correct specifications and issued to clients in accordance with agreed timescales
- Reading and summarising of leases and ensure accurate data is maintained on the property management system, regularly checking for updates and audit the accuracy of data
- Complete workflows for general changes, new lease documentation and the set up of new clients and properties
Financial:
- Draft, review and approve service charge budgets
- Draft service charge reconciliations ready for surveyor / Director approval
- Review service charge cash flow and budgets regularly
- Ensure tenant arrears are proactively managed in conjunction with the Savills central credit control team
- Identify improvements for financial efficiency
- Invoice approval and ensuring correct coding of expenditure in line with budgets
Operations and Health & Safety:
- Liaise with the building managers and regional facilities managers to ensure that the buildings are well maintained that all compliance requirements are met
- Ensure that Risk Assessments are carried out and actioned where necessary**Key Skills**Experience in Commercial Property Management is not essential, but applicants should have a desire to develop a career in this sector of the industry, and possess the following attributes:
- Strong financial and analytical skills
- Able to work with a relatively high degree of autonomy with mínimal supervision
- Be a team player, with the ability to use initiative
- Maintain high attention to detail and be well organised
- Be articulate, professional and persuasive with a good telephone manner
- Have excellent IT skills, including Excel, Power Point and Word
- Be a highly motivated individual with a 'can do' attitude and a desire to progress and learn
- Have a proactive attitude and the ability to multitask
- Able to work effectively under pressure
- Be adaptable, punctual, reliable and enthusiastic
