    Job summary

  • To provide an efficient and sympathetic reception service to patients, relatives and staff who attend the Medical Day Care unit, ensuring that processes are followed in relation to booking in, checking out, cashing up etc.
  • To liaise with the scheduling team to ensure that patient/staff queries are dealt with sympathetically and that processes are followed and appointments are booked according to policy.
  • Main duties of the job

  • The workload is mostly predictable.
  • The post holder will be required to use a PC and so this post is classified as a DSE user
  • Physical work is mainly light, for example the lifting of files of patient notes.
  • Receptionists may have to deal with patients with special needs or unpredictable behaviour.
  • Occasionally dealing with patients who are angry, upset and frustrated, both in person and on the telephone.

    Job responsibilities

  • To welcome patients, staff and visitors in a polite and friendly manner, dealing with enquiries in an efficient and timely fashion.
  • To use the hospital computer system to undertake all processes required for the patients visit and to arrange follow-up outpatient appointments in accordance with the booking protocol.
  • To ensure that all attendances are cashed up at the end of the day.
  • To respond promptly and professionally to internal/external telephone enquiries ensuring accurate information is disseminated to all parties.
  • To prepare patient skinny files for each day in accordance with protocols availability of patient skinny files and to search for missing files via telephone, email and face to face.
  • To clear up patient skinny files and send to relevant departments for typing/coding in a timely fashion.
  • To print patient lists, wrist bands and labels as required.
  • To arrange/reorder appropriate ambulance transport for patients attending the unit.
  • To alert and liaise with the Nurse in Charge in the event of a patient requiring prompt/immediate attention.
  • To maintain a safe environment for patients and staff, raising concerns where appropriate, completing the necessary documentation regarding any incident.
  • The post holder will need to be flexible in order to cover colleagues shifts during times of sickness/annual leave.
  • The post holder will maintain the quality of their own work.
  • The post holder will contribute to own personal development and assist with learning and development activities and will be required to attend mandatory training as well as training essential to this post holder will be expected to make changes in own practice in accordance with service needs and demands and offer suggestions for improving services.
  • To undertake any such duties commensurate with the grading of the post and the post holder should treat this job outline as flexible as it will be amended as the service requirements alter and/or needs of the position develop.
