Your role at a glance

Provide a proactive and professional PA service to the Internal Communications Director and team, as well as other leadership team members as required, working autonomously and independently with excellent attention to detail and a pro-active approach in supporting all aspects of their day-to-day activities.

What you'll be doing

  • Proactively managing inbox, including delegating matters to the appropriate person, highlighting where necessary and responding on their behalf as appropriate to enable them to be prepared and manage their role effectively.
  • Proactively managing diaries, including all logistics and travel to ensure time is optimised when spent in various locations. For hybrid meetings, ensuring the successful operation of technology.
  • Planning and coordinating any special projects and events/away days/conferences required involving internal and external liaison and locations. This may include attending and managing logistics on the day to support the business.
  • Completing the onboarding process for the team including arranging their induction timetable. Leading on actions required for new joiners, desk move management, team organisation charts, distribution lists in an efficient timely manner to support business priorities.
  • Preparing, proof reading/editing and circulating papers prior to meetings. Attending meetings where needed, minuting and noting actions for the team. Tracking action items assigned to the Directors ensuring the leader is aware of their own action points from previous meetings so that any outstanding actions can be quickly addressed.
  • Managing all aspects of travel, expenses and invoice processing. Keeping accurate and confidential records including holidays, absence, gifts and corporate hospitality and entertaining in order that they are accurate and comply with regulations and Group standards
  • Working collaboratively with other EAs/PAs ensuring there is always seamless support in place and provide continuity of cover during absence and periods of high workload to ensure high standards, best practice and consistency s maintained across the business
  • Continually promoting and ensuring compliance with the Groups Equality and diversity and treating customers fairly policy and procedures to ensure a consistent, timely and accurate level of service is maintained in line with promises made to meet customers' expectations, and that are within scope of Legal & General's Treating Customers Fairly policy.
What we're looking for

  • Proven experience as a PA.
  • Systems including Outlook, Teams, SharePoint, Word PowerPoint, Excel, and other relevant software packages that support the full range of administrative activities.
  • Either have, or ability to build a general understanding of the company structure from Executive Director level, through to PA's Direct Reports and all teams.
  • Broader knowledge/awareness of wider L&G business and key contacts in other divisions.
  • Either have, or ability to build knowledge of organisational infrastructure and a broad network of contacts at all relevant locations.
