- Due to location you must have access to your own transport Our client is looking for an Office Manager/PA who has excellent organisational skills and a personable disposition.
- Oversee visitors to the office and ensure a friendly, personal experience
- Ensure peak operations for the organisation and implement preventive measures for potential issues
- Implement policies and procedures, measure outcomes against standards, and improve operational flow
- Coordinate internal and external resources, and cultivate relationships with vendors
- Respond to requests and questions about office operations
- Support the Managing Director on a day-to-day basis including management of the office staff Responsibilities:
- Ensure office efficiency by maintaining common areas, organising procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
- Dealing with daily enquiries from customers and the Managing Director
- Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports
- Provide direct administrative support as needed, including scheduling appointments, meetings, travel, maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists
- Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate deliveries when requested
- Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested Required skills: 5 or more years' worth of experience and a proven track record in a Office Management or PA role
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
- Manage office staff effectively Preferred skills:
- Experience in developing internal systems
- Advanced computer skills and experience with online platforms
- Motor trade background would be beneficial
