About the role
Balfour Beatty has an exciting opportunity for a
Training Administrator/Co-Ordinator to join our Plant & Fleet business unit to work in
Derby or other business depots depending on home location

Role Purpose:


  • The role is to provide support to the Heavy Plant and Lifting Operations Training team due to expansion and progressing needs of the business requiring support to fulfil continued professional services to the Balfour Beatty Group and external clients
  • To provide support to the Training team by means of dealing with customer enquiries and requests for all training and professional project support services and coordinating all processes through to completion

What you'll be doing

As a
Training Administrator/Co-Ordinator you will:


  • Be responsible for dealing with queries and providing the required information for training, testing, assessments and professional project support services;
  • Ensure all appropriate information is collected from stakehoders to enable delivery of a right firsttime approach, resolving enquiry at point of contact where possible;
  • Ensure requests through all channels are responded to in a timely, responsive manner;
  • Deal with all requests related to the service are accurately and timely logged onto the confirm system and allocated to the appropriate individual;
  • Notifying and resulting training courses to the relevant provider/awarding bodies;
  • Log/file all training courses and updating matrixes;
  • Input all training data and sending out certification
  • Confirm training courses with customers and the internal Plant and Fleet teams and issuing all supporting information;
  • Book in courses to trainer calendars;
  • Notify departments of upcoming renewals;
  • Develop solutions to stakeholder challenges in a proactive manner to remove the need for reactive stakeholder contact, providing additional support to appropriately manage expectations;
  • Book Training and Meeting Rooms;
  • Develop a culture of continuous improvement through effective communication to all levels of staff involving open discussions, feedback and exchange of new ideas and best practice;
  • Deal with incoming and outgoing mail;
  • File photocopying, archiving and binding as and when required;
  • General Administration;
  • Data inputting and Minute Taking as and when required;
  • Input data onto the Oracle R12 internal systems;
  • Document control
  • Project recharge
  • Collaborate with the wider BB teams to ensure a smooth training start to end booking and delivery process
  • Invoice, report and manage internal/external work trackers (chargeable or otherwise);
  • Transport & accommodation booking;
  • Annual leave tracking;
  • Order; Hire Car, Stationary, PPE, ancillaries etc;
  • Produce requisitions, raising orders with subcontractors and suppliers;
  • Capture Trainer utilisation

Who we're looking for

  • Experience in administration and a Coordinator role;
  • Experience working with databases;
  • Highly organised;
  • Very strong customer focus;
  • Excellent multitasking ability;
  • Works well as part of a team and as an individual using own initiative;
  • Able to prioritise and manage own time effectively and work well under pressure;
  • Proactive and has ability to be resourceful and make decisions;
  • Positive attitude;
  • Excellent communication skills both verbal and written;
  • Flexible and ability to react to peaks and troughs in workload;
  • Desire to develop and is motivated to achieving targets;
  • Accurate and pay attention to detail, even when under pressure;
  • Good problemsolving skills and having the ability to think quickly and outside the box;
  • Dynamic and flexible;
  • Enthusiastic;

The following qualities/experience are desirable:


  • Experience with invoicing;
  • Experience with administration and coordination within a training centre;
  • NVQ or similar qualification in administration;
  • NVQ or similar in ICT.
