    Job summary

    Weare looking to recruit an Admin and Clerical support worker to join ourfriendly and enthusiastic team at Worcestershire Acute Hospitals NHS trust.This post is ideal for a highly efficient person who would feel a sense of accomplishmentin helping our patients and colleagues plan and organise service provision forthe Cardiopulmonary departments across Worcestershire.

    Main duties of the job

    Workindependently, managing and prioritising daily workload. Including prioritisingand coordinating clinical appointments, forwarding patient letters, liaisingwith patients, relatives and carers. Answering the telephone, resolvingpatient/ patient relatives/ carers queries, receiving and returning calls toConsultant Physicians, GPs, medical companies and other medical personnel.Taking and relaying messages in a professional manner, enabling the departmentto provide an efficient and effective clinical service. Maintaining appointmentlists booking and fully booking appointments,outcoming attendances, competently using the various electronic Trust wideclinical systems including: OASIS, Bluespier, EZ Notes and ICE. Developand maintain filing systems for patient clinical investigations anddepartmental correspondence equipment maintenance etc. Ensureand maintain office equipment and consumables, requisitioning to re-orderoffice equipment/consumables.

    Job responsibilities

    Job Purpose:

    To provide full admin & clerical support tothe Cardiopulmonary Department at WRH, using advanced keyboard skills anddatabase programmes to manage, prioritise and organize the daily departmentalworkload.

    KeyDuties:

    Maintaining appointmentlists partial booking, bookingappointments, outcoming and data setting all patient attendances on Oasis.

    Liaise and exchangeinformation with other departments, secretaries, staff within the Trustpatients and carers.

    Maintain dailydepartmental clinical investigation diary.

    Maintain and orderdepartmental stationery stock.

    Work independently, managing,and prioritising daily workload. Including prioritising and coordinatingclinical appointments, forwarding patient letters, liaising with patients, relatives,and carers.

    Answering thetelephone, resolving patient/ patient relatives/ carers queries, receiving,and returning calls to Consultant Physicians, GPs, medical companies, andother medical personnel.

    Taking and relayingmessages in a professional manner, enabling the department to provide anefficient and effective clinical service.

    Opening, sorting, distributing,and prioritizing daily post and clinical investigation requests and reports.

    Competently use thevarious electronic Trust wide clinical systems including OASIS, Bluespier, EZNotes and ICE.

    Maintain the dailydiary for the various investigations.

    Formulate and typecorrespondence under the instruction of the Head of the Department and/orHighly Specialised Physiologists.

    Develop and maintainfiling systems for patient clinical investigations and departmentalcorrespondence equipment maintenance etc.

    Ensure and maintainoffice equipment and consumables, requisitioning to re-order officeequipment/consumables.

    Training andSupervision:

    Train new members ofstaff in the admin & clerical departmental procedures.

    Undertake annual Trustmandatory training.

    Maintain continualprofessional development (CPD).

    Adhere to allWorcestershire Acute NHS Trust policies and procedures. In accordance with theTrusts Health and Safety, the post holder must take reasonable care of theirown safety, and that of others who may be affected by their acts or admissionsand co-operate with staff in performing and complying with any statutory dutiesor requirements.

    Essential

  • Experience in Organising and Scheduling.
