Purpose
We have a fantastic opportunity to join the team at Manchester's iconic and prestigious international concert venue.

Built to give the best possible space for music, we also provide a unique and exciting environment for a diverse range of conference and events.

The role will involve supporting the Conference and Events Team in both enquiry handling and planning.

A key role within the venue, the Conference and Events Executive will be contributing to the administrative process including contracting and invoicing plus preparing event sheets by liaising with clients, suppliers and internal departments.

You will play a key role throughout the customer journey and on the day of the event.


Main areas of responsibility

  • Conducting sales and familiarisation visits with prospective clients.
  • In conjunction with other teams, to use the Event Booking diary system to ascertain room availability and compatibility with other events.
  • To prepare persuasive event proposals and manage any further negotiation for Conference & Event bookings, aiming to convert enquiries and provisional bookings to confirmed business.
  • To work closely with the Conference & Events Sales Manager and Deputy Conference & Events Manager, to ensure effective management of the Hall's diary.
  • To ensure the effective communication of client requirements to all relevant internal departments and service providers, including the production of weekly event schedules.
  • To prepare event contracts, invoices and purchase orders for Conference & Events department.
  • To contribute to the updating and maintenance of reports within the Conference & Events department.
  • To collate and analyse Conference & Events feedback.
  • To assist with maintaining and updating all Conference & Events information on The Bridgewater Hall website and social media accounts.
  • To support event organisers on the event day, providing a central point of contact and ensuring effective communication with all operational teams.
  • To attend and exhibit at industry exhibitions and attend relevant networking events to raise the profile of the Hall
  • To attend the monthly Health and Safety meeting to represent the Conference and Events team and feedback to the team accordingly
  • To carry out any other training or duties assigned by the Conference and Events Sales Manager.

Person Specification

  • Experience of working within the Events Industry or a similar role
  • A confident and calm approach when liaising with event organisers
  • Excellent attention to detail
  • Excellent time management skills
  • Excellent administrative skills
  • The ability to collect information thoroughly and to strict deadlines
  • Good negotiation and communication skills
  • Excellent written, telephone and interpersonal skills
  • Experience of providing excellent customer service
  • A proven ability to work within a team environment
  • Smart appearance and good presentation
  • Examples of self motivation and ability to work on own initiative
  • The ability to use Microsoft Office tools including Word and Excel
  • Experience of building and sustaining good working relationships

The following attributes would be advantageous:

  • Knowledge in the use of a variety of different types of audio-visual equipment
  • Experience of using a central diary system for loading and managing bookings.
  • An understanding of the Health and Safety issues related to event management

General Information


The requirements of the business are such that a high degree of flexibility is necessary and therefore some evening and weekend work will be required.
