Dovetail Recruitment are pleased to be working with a successful company who are currently looking for a Hire and Transport Coordinator to contribute to ensuring the smooth running of business operations.

The company distributes many vehicle supplies, and they also hire out and service several types of equipment.

Duties and Responsibilities:


  • Deal with all hire enquiries, maximising hire fleet utilisation and profitability
  • Arrange hires in a timely and proactive manner ensuring all hires have a signed hire agreement and all equipment to be hired has an indate CFTS where applicable
  • Update our system daily to reflect all on and off hires, rearranging servicing, CFTS and SafePower as required
  • Raise jobs for the workshop to prepare hire trucks in good time for delivery and carry out "off hire" inspections, in addition carry out a daily meeting with our workshop team to agree workflow
  • Carry out monthly hire invoicing, deal with purchase orders and queries as they arise
  • Process purchase invoice approvals for cross hired equipment and subcontracted transport
  • Look to minimise cross hire charges by replacing from our own stock as soon as possible
  • Process end of casual hire and contract hire procedures, identifying chargeable repairs and invoice accordingly
  • Coordinate all requirements for demonstration trucks using the above processes where applicable
  • Review contract renewals
  • Carry out general admin and associated weekly/monthly reports
  • Carry out truck stock take at regular intervals and at the financial year end
  • Coordinate the movement of all transport requirements in conjunction with the Transport Manager as cost effectively as possible, whilst meeting the customers' requirements
  • Plan and arrange all deliveries / collections raising the necessary paperwork whilst keeping the customer updated
  • Maintain transport schedule
  • Raise transport invoices

Minimum experience required:


  • Good commercial understanding
  • 23 years admin experience
  • Excellent telephone manner and communication skills
  • Good skills in Microsoft Word, Excel & Outlook
  • Excellent attention to detail and accuracy

Salary and Benefits:


  • A salary of £29,000 per annum
  • A contributory pension scheme auto enrolled after 3 months 5% by employee and 4% by employer, rising if you choose, to 7.5% each after 5 years' service
  • Holidays starting at 23 days per year, rising by one day a year to a maximum of 30 days after 8 years' service, plus Bank Holidays
