Pipeline Group has a presence in multiple locations around the world, including our world-class Global Welding Development Centre in Old Kilpatrick near Glasgow.
In this varied role you will be one of two
Equipment Administrators based at our Pipeline Group global warehousing and distribution facility based in Clydebank, Glasgow.
Responsibilities include administering the processes for procurement, equipment management and logistics support to enable the safe and efficient co-ordination, control and movement of equipment and consumables to worksites and vessels in both UK and global locations.
The role will report to the Equipment Support Manager and also provide assistance to the wider team of equipment and logistics personnel.
It will interface with other business areas such as Supply Chain Management, HSEQ, Facilities, Project, Support functions and external contractors and organisations.
Responsibilities include administration and document control and will typically include creating purchase requisitions, assisting in workshop documentation control and certification, supporting the workshop MS Teams and Sharepoint sites and maintenance of systems and certification updates
Also:
- Provide administrative support during the 'ready for operations' phase of project delivery.
- Creating purchase and service requisitions
- Update and maintain tracking systems which provide an effective system for managing the procurement of equipment, spares and consumables for operational sites and vessels.
- Ensure the administration process is in place to maintain the Equipment Management System.
- Support logistics personnel to process equipment movement to and from sites and vessels, ensuring manifests provide accurate equipment location summary and reports.
- Maintain external hire records.
- Electronically convert paper documents.
- Upload data to SAP and SharePoint systems.
- Issue monthly calibration reports to responsible person on sites.
- Liaise with responsible person on sites to monitor calibration dates are met.
- Maintaining records of Technician's annual leave and process timesheets.
- Maintain safety records and site activities records and issue reports.
- Participate in inventory checks and internal/external audits.
- Attend and make effective contribution to progress meetings, record and distribute minutes.
- Contribute to the development and improvement of systems, procedures and processes.
- Perform any other relevant duties as required to support the business.
- Experience within a similar support role, ideally within an operations / logistics environment.
- Effective communication skills, both verbal and written, maintains positive and collaborative relationships with a diverse group of stakeholders, vendors and colleagues.
- Numeric and analytical skills and the ability to work with detail and accuracy.
- Proactive planning and organising skills, able to identify and effectively prioritise workload and successfully meet multiple, often competing deadlines.
- Demonstrates initiative and ownership to work unsupervised, will support wider team activities.
- Flexible to adapt to changing priorities within a fastpaced 24/7 global business.
- Proactive with a solutionsbased approach, willing to challenge the status quo.

- Proficient in the use of IT systems including Microsoft Office.
- Experience with SAP and equipment procurement and stock control (ERP).
