The Customer Services Team is a centrally managed team and has responsibility for the delivery and smooth operation of the department's corporate functions. These functions include mail collection and distribution, administrative functions, call handling and general enquiries. As the Crofting Commission is a small organisation, the post holders will be required to be flexible and may have to do other duties related to operational needs by working collaboratively with the rest of the Commission.
The Crofting Commission is a Non-Departmental Public Body (NDPB) whose officials are provided by Scottish Ministers. The Commission acts in the regulation of crofting and aims to:
Responsibilities
• Be a first point of contact for call handling in the Commission.
• Handle the opening, scanning and distribution of the Incoming Mail. Process Outgoing Mail ensuring it reaches the designated outgoing mail area within the timescale required.
• Preparation of file boxes for sending to the Commission storage facility. Request files from the Commission storage facility on allocated days ensuring the e-mail requests are sent by the required deadline and scanning historic files.
• Handling of general enquiries including responding and distribution.
• Monitoring of newspapers, subscriptions (renew when necessary) and extracting/saving adverts.
• Provide other general administrative support as required including photocopying, scanning, binding, filing, mail merges, etc.
