    Job Description

    Managing the stock selection and maintenance of all resources

    • Selecting and ordering new stock for the teaching programmes through reading book reviews from The Journal of Analytical Psychology, Therapy Today etc and specialised websites such as Karnac and Confer
    • Processing new books and journals.
    • Cataloguing new and donated stock on the online circulation system.
    • Withdrawing old outdated and damaged stock from the catalogue.
    • Periodically arranging dispatching and receipt of current journals for yearly binding.
    • Summer stock take of library to see what books have been taken or are missing from library stock and amending catalogue as necessary.

    Provision of resources to all courses

    • Sourcing all readings and texts – purchasing books we do not have for courses and searching for articles via PEPweb, the NHS wide Psychiatric Libraries Co-Operative System, Google scholar and Researchgate etc.
    • Scanning of new texts accurately and using PDF writer to edit black margins round page edge etc to produce text that is most readable for trainees.
    • Loading all readings onto the Moodle system for all SAP courses.
    • With the Training Administrator, ensure all reading lists are uploaded to Moodle.
    • Editing reading list bibliographical details to comply with American Psychology Association (APA) and that they comply with Copyright Law.
    • Liaising with seminar leaders over change of readings if Copyright law infringed.
    • Maintaining the Zotero readings repository.
    • Managing the Library environment, display of books etc.

    Managing library circulation system for SAP Members and trainees

    • Maintaining and improving the circulation system (e.g. setting up an automated reservation system).
    • Keeping the library catalogue updated on the website.
    • Maintaining and updating database of registered users of library system.
    • Managing loans, renewals and overdues on the circulation system.

    Educational tasks

    • Answering enquiries from members, trainees and external enquirers.
    • Arrange induction and tutorials for new members, trainees, course attendees and external researchers on using library and available search engines for their essays and research.
    • Updating guides/instruction for the use of the library and online catalogue (annual task).

    Copyright

    • Ensuring the SAP follows Copyright Licensing Authority legislation for readings, use of images in publicity and with course guides.
    • Managing CLA copyright declaration spreadsheet input for each academic year (Sept- mid June each year).
    • Administration of acquiring a new Higher Education Digital Copyright License (cost linked to number of trainees).

    Research, reference and literature searches

    • Responding to requests from the NHS UK wide Psychiatric Libraries Co-Operative system for articles they require from our collections.

    Professional development

    • Virtual communication with PLUG (Psychoanalytic Libraries Umbrella Group) - comprising of skilled Library staff from the Institute of Psychoanalysis, Anna Freud Institute, Minster Centre, Metanoia Institute, Association of Jungian Analysts, Institute of Group Analysis - to look at the way we manage and market our libraries and find ways of working more collaboratively together.
    • As SAP is a member, keeping in contact with CHILL (larger health libraries group attended by Tavistock Library, Institute of Psychiatry, Wellcome Institute etc) on effectively using and sharing online resources, modernising the library, marketing service etc.

    Professional Skills

    Essential

    • Relevant library or information management qualification
    • Good knowledge of Office 365, Excel, Adobe Pro
    • Good knowledge of Moodle
    • Experience of managing digital information systems
    • Experience in working in a Higher Education/Academic Library
    • Skills in making links with other organisations and libraries
    • Excellent organisation and administrative skills

    Desirable

    • Chartered membership of CILIP
    • Good knowledge of Copyright Law
    • Ability to acquire specialist subject knowledge
    • Knowledge of psychology, psychotherapy and analytical psychology an advantage

    Personal Skills

    • Ability to deal with peaks and troughs of work and to work under pressure
    • Friendly and flexible worker with ability to work to tight deadlines
    • Able to prioritise and structure library workload
